Position Description: Administrative Assistant, The Harland West Hollywood

The PMP Administrative Assistant will anchor the primary daytime front desk shift while serving as a key operational extension of the General Manager. This individual will help maintain structure, accountability, and elevated service standards across both rental operations and ongoing HOA transition initiatives.

The Harland is a luxury property that values structure, service excellence, and operational accountability. This role offers exposure to executive-level property management operations and growth potential within PMP.

Job Duties:

Luxury Front Desk Leadership

  • Serve as the primary front desk professional during the 9:30 a.m. – 6:00 p.m. shift (Tuesday–Saturday)
  • Deliver hospitality-level service to residents, guests, vendors, and realtors
  • Maintain exceptional attentiveness and situational awareness at all times
  • Oversee access control, vendor entry, and key management procedures
  • Coordinate packages, deliveries, and move-in/move-out scheduling
  • Set the tone for front desk standards and accountability
  • Assist in training and reinforcing procedures with other Resident Services Associates
  • Proactively address resident needs before they escalate

Administrative & Operational Support to the GM

  • Draft professional correspondence and resident communications
  • Assist with vendor coordination, follow-up, and documentation
  • Track invoices, logs, compliance matters, and operational records
  • Prepare documentation for Board meetings and internal reviews
  • Maintain organized digital and physical ?ling systems
  • Assist with ?nancial documentation and reporting organization
  • Conduct property walks and report observations requiring follow-up
  • Support ongoing operational initiatives related to HOA readiness

Required Qualifications:

  • 3–5 years of administrative and/or property management experience
  • Luxury residential or hospitality experience preferred
  • Strong written and verbal communication skills
  • Pro?ciency in Microsoft Office (Word, Excel, Outlook)
  • Strong organizational and time management skills
  • Ability to manage multiple priorities without losing attention to detail
  • Commitment to con?dentiality and professional conduct
