Position Title: Project Coordinator


Compensation: Full-time, Exempt, commensurate with experience.

Scope & Responsibilities of Project Coordinator: (Not limited to)

The Project Coordinator supports the development and execution of refinery engineering and capital projects beginning in the Front-End Loading (FEL) phase through construction and startup. This role coordinates work between engineering, operations, maintenance, safety, environmental teams, and contractors to ensure projects are executed safely, on schedule, and within scope. Responsibilities include supporting early project definition and scope development, assisting with preliminary cost estimating and planning activities, maintaining project documentation and cost tracking, coordinating procurement and equipment deliveries, and supporting project reporting. During project execution, the Project Coordinator helps coordinate engineering deliverables, contractor activities, and field construction work while working with engineering, operations, and maintenance teams to help resolve project execution issues and keep work progressing according to project schedules and refinery operating requirements. Under minimal supervision, this position reports to the Director of Project Engineering.

  • Support Front-End Loading (FEL) activities including early project definition, scope development, preliminary cost estimating, and schedule development.
  • Coordinate activities between engineering, operations, maintenance, safety, environmental teams, and contractors during project development and execution.
  • Track engineering deliverables, contractor work, and procurement milestones to ensure project work progresses according to plan.
  • Maintain project documentation including scope definition, schedules, cost tracking, procurement status, and engineering deliverables.
  • Assist with development of project cost estimates and support capital project planning activities.
  • Prepare regular project status reports summarizing milestone progress, scope changes, budget impacts, labor utilization, and contractor safety metrics.
  • Serve as Change Coordinator for Management of Change (MOC) requests and track required documentation and approvals.
  • Initiate and track purchase requests related to project work and assist with resolving invoice discrepancies.
  • Coordinate equipment deliveries and verify materials received meet project specifications.
  • Assist with development of construction work scopes and coordinate with field personnel and contractors during project execution.
  • Identify project execution issues and coordinate with project stakeholders to help resolve them.
  • Reinforce refinery safety expectations and procedures with contractors and project team members.

Education & Experience for Project Coordinator:

  • High School Diploma with associate degree in a technical field or 10 + years related work.
  • High school diploma required; associate degree in a technical or engineering-related field preferred.
  • Minimum five (5+) years coordinating projects, construction work, or engineering-related activities.
  • Experience working in an industrial, manufacturing, chemical, or refinery environment preferred. PMP certification or project management training desirable.
  • Proficient in Microsoft Office applications Access, Excel, Word, and Outlook as well as other applicable software.
  • Must possess and maintain a valid motor vehicle driver’s license.
  • Experience supporting engineering projects, capital projects, or construction coordination preferred.
  • Ability to communicate effectively with engineering teams, contractors, and refinery personnel.

Successful completion of all company mandated and job-related training programs.

Physical & Cognitive Demands of Project Coordinator:

COGNITIVE DEMANDS: Meet deadlines, focus attention, work independently, independent judgments, work with a team, communicating, reading comprehension, critical thinking/troubleshooting.

PHYSICAL DEMANDS: seeing, speaking, hearing, sitting, walk/climb, stand/reach, listen, writing, driving, keyboarding, Working in extreme heat/cold. Push/pull/lift/carry 25 pounds.
