About This Position
Job Summary: Supervise inmate workers with the responsibility for maintaining accounting, cost and record-keeping functions and operate as the principal customer service liaison. Maintains plant administrative records to include inmate and supervisor payroll and training records, as well as, the customer call log, vendor files and the standard cost master. Receives and posts customer orders and prepares customer invoices. Maintains and posts incoming material and supply receivers and reports all discrepancies. Develops and executes inventory policies to meet industry objectives.
Essential Duties & Responsibilities: Other duties may be assigned.
- Directs the daily interaction with customers, where he and his staff provide information, product delivery dates and adjustments, address customer concerns and provide solutions to customer problems, receive telephone orders, maintain customer telephone log and take follow-up action on product inquires.
- Manages all purchases for the facility and products, including but not limited to raw material, prefinished goods, operating supplies, and office supplies.
- Acts as a liaison for company policy matters for supervisors and inmate workers. Point of contact for Human Resource issues in the factory. Coordinator for issues between the Corporate Office and the factory.
- Submits all quotes to customer based upon information provided by Production Manager and Engineering Manager. Assists Production and Engineering in the implementation of Sales change requests.
- Directly supervise and train ten inmate workers in the following duties: purchasing, shipping & receiving, quoting, customer service inquiries.
- Utilize standard office procedures related to accounting, record-keeping, and inventory management.
- Maintain accurate electronic data in day-to-day functions utilizing Microsoft Dynamics and personal computers.
- Essential Duties & Responsibilities Cont.: (Cover all ESSENTIAL major duties and areas of responsibility - no minor tasks, 4-14 duty statements only.) Other duties may be assigned.
- Prepare and distribute financial and operational information for use by management and staff to assist in the monitoring and controlling costs.
- Provide effective communication with internal and external customers (all stakeholders). Process and communicate personnel policies, procedures, benefits, and other Human Resource issues. Interprets company policies to inmate workers and enforces safety regulations.
- Supervise and train subordinates and inmate workers and perform other duties as assigned.
- Manage factory inventory, completing cycle counts per company policy.
- Coordinate recognition luncheons for inmates twice a year.
- Supervise the factory floor as needed.
- Schedule gate access for ensure guests and their equipment to with FDC.
- Plans, coordinates and schedules logistics, i.e. trucks for delivery of finished products.
Qualification Requirements: There are six sub-sections, you can use some or all of them.
Education and Experience: HS diploma or equivalent required, + 2 years supervisory experience. Mechanical aptitude and ability, and some manufacturing experience helpful.
Language Skills: Basic verbal, written, and electronic communication skills.
Mathematical Skills: Basic math skills.
Reasoning Ability: Training inmates in production and clerical techniques and coordinating manpower and equipment usage.
Specialized Knowledge and/or Skill:
- Working knowledge of Microsoft Office Products, including Email, Word, Excel, and PowerPoint and some knowledge of other computer software.
- Strong written and verbal communication skills, analytical ability, leadership strengths and ability to work effectively with a team.
Other Skills and Abilities: People/leadership skills. Personal time management. Honest, straightforward, dependable, pleasant, adaptable.
Physical Demands: While performing the duties of this job, the employee is regularly required to stand or walk. The employee is regularly required to talk and listen.
Work Environment: While performing the duties of this job, the employee frequently works near moving parts. The noise and dust levels are moderate. Employee should be prepared to have personal belongings searched at any given time by FDC staff.
