About This Position
We are seeking a Full-time Caregiving Office Assistant for a busy Healthcare agency in Moorpark. We are a fast-paced, friendly, and family-oriented office. The right candidate will be a fast learner, organized, able to retain information and direction, and maintain a kind and positive attitude while supporting both caregivers and clients.
This role supports the caregiving department with scheduling, caregiver coordination, documentation, and administrative support to help ensure high-quality care and smooth daily operations.
Work hours are in-person, Monday through Friday, 8:30am–5:00pm.
On-call availability may be required, including occasional weekends.

Duties and Responsibilities:
- Provide administrative support to the caregiving department to ensure quality care standards are maintained
- Maintain caregiver schedules to ensure continuity of care and alignment with client needs
- Resolve scheduling conflicts, emergencies, and caregiver call-outs as they arise
- Confirm caregiver shifts and update caregiver availability on an ongoing basis
- Review care logs for completeness and accuracy and finalize employee hours daily for payroll processing
- Maintain documentation and update records in the Clearcare system according to company policy
- Assist with recruiting, hiring, and onboarding new caregivers
- Perform background checks and reference screenings as part of the hiring process
- Ensure caregiver files remain compliant with training and credentialing requirements
- Maintain positive relationships with caregivers and clients and respond to inquiries in a timely manner
- Communicate with the Caregiving Coordinator regarding scheduling updates, caregiver availability, and reported issues
- Assist in improving care coordination and operational procedures when needed
- Serve as back-up for the Caregiving Coordinator when necessary
- Participate in scheduled on-call duties as required
- Maintain strict confidentiality and comply with HIPAA privacy policies
- Understand and fulfill responsibilities as a mandated reporter for suspected elder or dependent adult abuse
- Perform additional projects and administrative tasks as assigned
Qualifications Needed:
- Education or previous experience in business administration, office management, or healthcare administration preferred
- Strong computer skills and ability to learn scheduling and documentation systems
- Excellent organizational, multi-tasking, and time management skills
- Strong written and verbal communication skills
- Ability to work independently and within a team environment
- Ability to read, write, and follow oral and written instructions
- Must be at least 18 years of age
- Must have clear fingerprint clearance
- Must complete a statement of prior criminal convictions
- Must have reliable transportation
- Must have a valid California Driver’s License and proof of auto insurance
- Two verifiable professional references required
