What you'll do (key responsibilities)
As the Branch Operations Specialist, you'll oversee office activities, production, and facility management for one or more branch operations/ locations - ensuring get fast, accurate quotes and orders while the shop runs efficiently and safely.
Customer, Sales, & Order Execution
- Handle quotes and orders for outside sales, inside teams, and customers with urgency and accuracy.
- Maintain on-time quote and order acknowledgment response times.
- Serve as the key point of contact from quote to invoicing; follow each transaction through completion.
- Review open order reports daily to ensure customer expectations are met; estimate delivery dates based on production and delivery schedules.
- Process quotes, orders, returns, and purchasing via phone/email and through the ERP system.
Operations, Shop Workflow & Install Coordination
- Partner with the belt shop leader/manager to optimize shop production, fabrication workflows, and throughput.
- Assist with scheduling installations and support branch priorities as needs shift.
- Maintain a strong understanding of shop processes (shipping, receiving, fabrication) and shop equipment operation
Inventory, Purchasing, & Vendor Management
- Source products, initiate inventory reorders (and in some cases complete ordering), and review inventory levels.
- Meet with and manage vendors/suppliers; issue and follow up on purchase orders.
- Oversee shop supply orders and approvals.
People Leadership & Branch Administration
- Manage inside salespeople (AMs) and maintain expected on-time responsiveness metrics.
- Manage shop employees (Belt Shop Manager, Belt Shop Technicians, Shipping/Receiving).
- Approve work schedules and PTO schedules; verify hourly timecards.
- Conduct occasional local customer visits and ride-alongs with outside sales as needed by the branch.
Facilities, Equipment, & IT Coordination
- Schedule shop equipment maintenance and support maintenance programs.
- Oversee repairs/upgrades to the physical branch facility and coordinate contractor access.
- Maintain facility IT equipment, computer systems, and phone systems.
- Act as the branch point-of-contact for intercompany communication and communicate branch activities to your supervisor.
Travel
Some travel may be required for business development, continuous improvement, installs, customer sites, trade shows, and product training.
Requirements:What you'll Bring
- Previous experience in industrial distribution and comfort working in a branch/shop environment.
- Strong mechanical background and ability to understand shop processes and equipment.
- ERP experience and strong attention to detail, organization, and prioritization.
- Customer-first mindset with urgency, responsiveness, and professionalism.
- Comfortable cold calling in person and over the phone.
- Ability to lift up to 50 lbs; willingness to work overtime/weekends and travel overnight as needed.
- High school diploma or equivalent.
Physical Demands & Work Environment
This role may require lifting/moving up to 50 pounds and using manual dexterity and strength to manipulate equipment and tools. Work includes standing, bending, kneeling, or sitting for extended periods. The environment includes exposure to moving/mechanical parts and can be loud.
