About This Position
This position is responsible for planning, organizing, and supporting the overall duties of the Utilities department.
· Answers telephone and greet visitors; provides information and assistance; refers to appropriate personnel; responds to complaints and requests for service; maintains records to ensure effective response.
· Dispatches maintenance crews in response to service requests; relays information to work crews in the field.
· Prepares letters, memoranda and other correspondence.
· Maintains department files and records.
· Prepares work orders using Hiperweb software in support of customer account adjustments.
· Prepares a variety of regular and special reports.
· Prepares agendas and meeting materials for weekly department meetings.
· Records road cuts and sidewalk installations.
· Disseminates weekly maintenance schedules.
· Maintains supply inventory.
· Enters purchase requisitions.
· Reconcile Bank of America transactions for three divisions.
· Prepares requisitions.
· Conducts the department’s orientation program.
· Plans and organizes facility functions.
· Organizes the Water Conservation Education Program.
· Assists with coordinating Utilities Community Outreach Program events.
· Processes hydrant rentals and Environmental truck inspections.
· Monitors Employee Evaluations.
· Schedules interviews and appointments.
· Conducting Customer Satisfaction Surveys.
· Assist with Star Employee Program.
· Creates information postings for department events using Canva software
· GA811 data entry.
· Retrieves in-going and out-going mail.
· Coordinates office in absence of Administrative Operations Manager.
· Performs related duties.
Requirements:· Knowledge of modern office practices and procedures.
· Knowledge of city and departmental policies and procedures.
· Knowledge of computers and job-related software programs.
· Knowledge of city records management principles.
· Knowledge of basic accounting practices.
· Knowledge of customer service principles.
· Skill in prioritizing and organizing work.
· Skill in the provision of customer services.
· Skill in the maintenance of files and records.
· Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.
· Skill in oral and written communication.
· Ability to read, write and perform mathematical calculations at a level commonly associated with the completion of high school or equivalent.
· Sufficient experience to understand the basic principles relevant to the major duties of the position usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
