GENERAL SUMMARY:

Manager of Shared Pediatric Medical Services will oversee Immediate Care, Nutrition, and the Health & Wellness Programs, as well as additional programs. This role is responsible for operational performance, staff management, and program growth, ensuring high-quality, efficient, and patient-centered care across all service lines.

ESSENTIAL JOB FUNCTIONS:

Operations Management

  • Oversee daily operations of PediaTrust Immediate Care (multiple locations), Nutrition Services, and the Health & Wellness Program, ensuring efficient, high-quality care delivery
  • Standardize workflows across programs, including rooming processes, call-in protocols, and onboarding procedures
  • Monitor and manage patient access, flow, and capacity to meet demand across service lines
  • Lead onboarding for new hires, including Epic, Paylocity, email access, and coordination of on-the-job training
  • Ensure operational compliance with organizational standards and drive continuous process improvement initiatives
  • Support physician scheduling in partnership with clinical and operational leadership

Personnel Management

  • Directly supervise Registered Dietitians and PIC support staff (RNs, Medical Assistants, and Front Desk), including hiring, onboarding, scheduling, and performance management
  • Conduct performance reviews (30/90-day and ongoing) and provide coaching and professional development
  • Develop staffing models and manage schedules, including PIC-only schedules, new hire rotations, weekend on-call, and holiday call coverage
  • Identify staffing gaps and implement solutions to ensure appropriate coverage and optimal patient access
  • Review and approve bi-weekly timecards and manage PTO to ensure accurate payroll and staffing coverage
  • Foster a collaborative, team-based culture aligned with PediaTrust values

Clinical Program Management

  • Support the launch, growth, and optimization of the Health & Wellness Program, promoting a multidisciplinary, team-based care model
  • Partner with clinical leadership to improve outcomes related to nutrition, healthy habits, weight management, and long-term risk reduction
  • Ensure alignment and integration of care delivery across Immediate Care, Nutrition, and Health & Wellness services
  • Monitor key performance metrics (access, volumes, patient experience, and quality outcomes) and implement data-driven improvements
  • Develop content and support execution of bi-annual staff meetings, including training and program updates

Financial & Performance Management

  • Monitor operational and financial performance across service lines, including visit volumes, productivity, and cost management
  • Support budget adherence through effective staffing and resource utilization
  • Identify opportunities to improve efficiency, reduce costs, and support revenue growth
  • Support execution of strategic initiatives and translate organizational goals into actionable operational plans
  • Partner with leadership to ensure programs meet financial and performance targets

Required Length & Type of Experience:

  • Bachelor's degree in health administration, public health, business, or equivalent professional experience
  • Experience coordinating, supervising, or managing teams
  • Demonstrated leadership or supervisory experience in an operational or service-based environment
  • Previous experience with Electronic Health Records (EHR), Epic experience preferred
