Job Description

Position Summary / Why This Role Matters

BFC Solutions is seeking a detail-oriented Safety Coordinator to support the day-to-day administration of our safety, claims, compliance, and training programs. This role is critical to keeping safety processes organized, timely, and well-documented across a fast-paced, field-based operation. The Safety Coordinator will help track workers’ compensation claims, maintain safety records and reporting, support training communications and assignments, manage customer and third-party compliance portals, and coordinate follow-up related to incidents and driving events. This is a strong opportunity for someone who is highly organized, proactive, and comfortable working across multiple systems and internal teams.

What You Will Do

Claims, Incidents, and Follow-Up

  • Coordinate the administrative workflow for workers’ compensation claims, including intake, reporting, documentation, follow-up, and status tracking.
  • Maintain accurate internal logs for claims, incidents, OSHA recordability, restricted duty, lost time, return-to-work activity, and related safety metrics.
  • Follow up with managers, HR, clinics, carrier partners, and internal stakeholders to ensure claims and incident documentation is complete and current.
  • Assist with post-incident communication and follow-up to ensure action items are documented, communicated, and completed in a timely manner.

Training and Safety Communications

  • Create, update, format, and distribute safety training materials, toolbox talks, presentations, alerts, and other communication tools.
  • Coordinate safety training assignments and completion tracking, including follow-up with employees and managers on overdue or incomplete training.
  • Support new hire and ongoing safety training administration by helping maintain training records, acknowledgements, and training materials.
  • Assist with company safety communications related to policy reminders, seasonal hazards, incident trends, and safety expectations.

Driving Safety Program Support

  • Review safety driving videos, dash cam footage, and other available materials related to vehicle incidents, complaints, near misses, coaching opportunities, and safe driving initiatives.
  • Document findings from driving-related reviews and ensure appropriate records are maintained.
  • Coordinate communication and follow-up related to driving events and video reviews, including manager notifications, coaching support, retraining assignments, and corrective action tracking.
  • Maintain records related to safe driving reviews, coaching activity, training completion, repeat driving events, and related follow-up actions.

Compliance, Portals, and Reporting

  • Manage company profiles and required submissions within customer safety/compliance portals, vendor prequalification systems, and other third-party platforms.
  • Maintain current safety documentation, including training records, OSHA logs, certificates, written programs, and other required compliance materials.
  • Prepare and maintain recurring safety reports, dashboards, trackers, and departmental documentation.
  • Support audit preparation, customer safety reviews, compliance requests, and related recordkeeping needs.
  • Maintain organized files and documentation in accordance with company standards and retention requirements.
What We Are Looking For

We are looking for a strong coordinator who brings organization, follow-through, sound judgment, and the ability to keep safety-related work moving across multiple stakeholders and systems.

Required

  • 2+ years of experience in safety administration, claims coordination, compliance support, HR coordination, or a similar administrative role.
  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and follow-up items.
  • Strong attention to detail and ability to maintain accurate documentation and records.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office, including Excel, Word, and PowerPoint.
  • Ability to work onsite and collaborate effectively with cross-functional teams.
  • Ability to handle sensitive and confidential information with professionalism and discretion.

Preferred

  • Experience supporting workers’ compensation claims administration and incident tracking.
  • Familiarity with OSHA logs, safety documentation, and compliance recordkeeping.
  • Experience managing third-party safety/compliance portals or contractor prequalification systems.
  • Experience in a field-based, service, logistics, construction, manufacturing, or multi-site operational environment.
  • Experience with LMS platforms, HRIS systems, incident tracking tools, or related systems.
  • Associate’s or bachelor’s degree in safety, business, human resources, or a related field.
Success Measures

This role supports consistent execution and visibility across several core safety processes. Success in the role will be measured by:

  • Timely and accurate claims and incident tracking
  • Strong completion and follow-up discipline across training and compliance activities
  • Accurate and current safety records, reports, and portal submissions
  • Consistent communication and documentation related to driving events, coaching, and corrective actions
  • Strong administrative support for the Safety Director and broader safety program
Physical and Work Environment Requirements

This role is primarily office-based and supports a field-driven business. The requirements below reflect the routine physical and work environment expectations of the position.

  • Work is primarily performed in an office environment.
  • Must be able to sit for extended periods and work regularly on a computer.
  • Must be able to communicate effectively by phone, video, and email.
  • Must be able to occasionally lift and move up to 20 pounds using safe lifting techniques.
  • Occasional travel may be required.
  • Occasional overtime may be required based on business needs.
