Administrative Assistant: Part-Time
Pay: $18.00 - $20.00 per hour depending on experience
Hours: 12-15 hours on Weekends with possibility of additional hours

THREE ESSENTIAL FUNCTIONS of the AA:
Essential Function #1 – Communications
Under the direction of the FA, the AA handles written, verbal, and electronic communications on behalf of the FA, DRS, and the DES.
- Greets visitors, guests, vendors, and other persons in a courteous and professional manner.
- Confirms appointments in advance on behalf of and reminds supervisors and directors.
- Advises all staff of scheduled reviews, trainings, meetings, etc. as directed
- Handles incoming phone calls from prospective residents, vendors, resident family members, and others in a professional and courteous manner. Takes first responsibility for proper routing of calls and inquiries. This includes screening our solicitors and qualifying inquiries for services.
- Prepares, updates, revises, and/or posts various rosters, call lists, event flyers, resident emergency contact lists, etc.
Function #2 – Office Administration, Supplies, and Records
The AA is responsible for the efficient operation and ordering related to all administrative systems, office equipment and supplies, and supply of resident consumables.
- Receives, labels, and stocks supplies to include office supplies and resident consumables.
- Completes equipment maintenance in house that is practical – cleans shredder, clears copier jams, etc.
- Arranges for service providers and/or vendors to service equipment as needed.
- Annually archives (electronic and physical storage) and/or disposes of previous years records as directed by the FA or ASC.
- Prepares drafts and/or final revisions of time critical communications such as Unusual Incident Reports, business correspondence, applicant response letters, etc.
- Updates Resident Roster to be posted in the MedRoom.
Function #3 – Office Organization
The AA is responsible for the appearance of administrative offices, reception areas, and the copy center.
- Cleans offices weekly as directed by the FA. Uses care and discretion with sensitive materials
- Cleans/services all copy services equipment to include printers and copiers.
- Files, archives, and/or shreds records as directed by the FA or the ASC.
- Maintains accurate continuing education and evidence of mandated staff training logs.
Qualifications
Clear criminal record and fingerprint clearance prior to initial presence in facility.
Drug free. Willing to submit to any drug screening as requested or required.
Possession of valid Basic First Aid certificate.
Must be 18 years of age.
Must have current CA driver’s license and a clear DMV record.
Knowledge of and ability to conform to applicable laws, rules, and regulations under Title 22 for RCFE.
Must possess excellent communication skills.
Ability to handle confidential information.
Ability to accept direction and work as a team player.
Ability to conduct himself/herself in a pleasant, cooperative, and courteous manner.
Ability to read, write, and speak English.
Must meet the physical requirements of WestHaven Assisted Living as outlined in the Ministry Staff Essential Functions & Physical Requirements.
