Position Summary
The Maintenance Parts Coordinator is responsible for managing and maintaining the maintenance parts inventory required to support manufacturing operations. This role ensures parts availability, inventory accuracy, and strong coordination between the maintenance team and the Maintenance Buyer to minimize equipment downtime. This role ensures parts are properly organized, tracked, and readily available to minimize equipment downtime and support efficient maintenance activities.
The Maintenance Parts Coordinator works closely with the Maintenance team and the Maintenance Buyer. This position plays a critical role in monitoring inventory levels, maintaining an organized parts room, receiving shipments, and ensuring parts are accessible when needed. The ideal candidate is a self-starter who takes ownership of the parts room, is highly organized, and can work independently in a fast-paced manufacturing environment.
Key Responsibilities
Inventory Management
· Maintain accurate inventory levels for maintenance and manufacturing parts
· Track incoming and outgoing parts using inventory systems, spreadsheets, or ERP systems
· Conduct routine cycle counts and periodic physical inventory audits
· Ensure all parts are properly labeled, categorized, and stored for easy access
· Maintain accurate records of parts usage and inventory levels
Parts Ordering & Procurement Support
· Monitor inventory levels and proactively identify parts that are running low or approaching reorder levels
· Communicate inventory needs and critical part shortages to the Maintenance Buyer in a timely manner
· Work closely with maintenance technicians to identify parts required for repairs and preventative maintenance
· Assist the Maintenance Buyer by tracking purchase orders, delivery timelines, and backorders
· Act as the primary point of coordination between the maintenance team and the Maintenance Buyer regarding parts inventory and ordering needs• Receive incoming shipments of parts and materials and verify that quantities and items match purchase orders
· Report discrepancies, damaged items, or missing parts to the Maintenance Buyer
· Ensure received parts are properly logged, labeled, and stored in the inventory system
Parts Room Organization
· Maintain and continuously improve the organization and efficiency of the maintenance parts room
· Develop and maintain systems for easy identification and retrieval of parts
· Ensure shelves, bins, and storage areas are clearly labeled
· Follow safety procedures and proper storage requirements
Operational Support
· Coordinate distribution of parts and materials to maintenance technicians to support repairs and preventative maintenance
· Work with maintenance technicians to ensure quick access to critical parts and identify commonly used inventory items
· Help identify commonly used or critical spare parts that should be stocked
Communicate part availability or shortages to the maintenance team
Recordkeeping & Systems
· Maintain accurate documentation of inventory activity and parts usage
· Utilize computer systems to track inventory and maintain records
· Generate basic inventory reports as needed for management
Requirements:Qualifications
Experience
· 2–5 years of experience in a manufacturing parts room or maintenance inventory environment
· Experience supporting maintenance or manufacturing operations preferred
Skills & Competencies
· Strong organizational and inventory management skills
· Self-starter with the ability to work independently and take initiative
· Detail-oriented with strong accuracy in recordkeeping
· Ability to prioritize tasks and manage multiple requests
· Strong communication and collaboration skills
Technical Skills
· Basic computer proficiency (Microsoft Office)
· Experience with inventory management or ERP systems preferred
Physical Requirements
· Ability to lift up to 75 lbs (max)
· Ability to stand, walk, bend, and move throughout the workday
· Ability to work in a manufacturing or warehouse environment
Preferred Qualifications
· Experience in manufacturing or industrial maintenance environments
· Familiarity with MRO (Maintenance, Repair, and Operations) inventory
· Forklift certification or willingness to obtain certification
