About This Position
The Executive Coordinator provides high-level administrative and operational support to the President and other members of the executive team as needed, ensuring the efficient execution of daily priorities and long-term initiatives. This role requires exceptional organization, discretion, and communication skills, as well as the ability to manage multiple priorities in a fast-paced environment. The Executive Coordinator serves as a trusted liaison, enabling the President and executive team members to focus on strategic leadership and decision-making.

Essential Job Functions
- Manage and maintain the President’s calendar, including scheduling meetings, calls, and appointments with internal and external stakeholders
- Coordinate domestic and international travel arrangements, including itineraries, accommodations, and logistics
- Prepare, edit, and organize documents, presentations, and correspondence
- Pull and compile financial reports and other data as requested
- Communicate messages and information on behalf of the President with professionalism and confidentiality
- Order office supplies and manage business-related purchases, including Amazon orders
- Prepare meeting agendas, capture meeting notes, and distribute minutes and action items
- Support special projects and initiatives as assigned, tracking progress and deadlines
- Serve as a key point of contact, ensuring timely follow-up and clear communication across teams
- Other duties as assigned by executive team
Basic Qualifications
- 3+ years of experience in an administrative, executive support, or coordination role
- Strong organizational and time-management skills with keen attention to detail
- Excellent written and verbal communication skills
- Ability to handle sensitive information with a high level of discretion and professionalism
- Proficiency in Microsoft Office and related business tools (calendar management, document preparation, reporting)
- Ability to prioritize competing demands and adapt to changing needs
- Self-motivated, proactive, and solutions-oriented
Preferred Qualifications
- Experience supporting senior leaders or executives
- Familiarity with financial reporting or expense tracking
- Experience coordinating meetings and travel for leadership teams
Working Conditions
- Work environment: Upbeat, high-energy sports and event complex with heavy foot traffic and frequent large crowds.
- Physical requirements: While performing the duties of this job, the team member will be regularly required to perform physical activity that includes moving about the work area, standing, sitting, bending, reaching with hands and arms, lifting, pushing, pulling, talking, hearing and smelling.
- Lifting requirements: The team member will be required to lift, push, pull, lower and/or move up to 10 lbs regularly, and up to 50 lbs frequently.
