Gateway Rehab Center (GRC) is seeking an experienced Physician Practice Manager to lead the daily administrative, operational, and financial functions of our physician practice. This role is critical to ensuring efficient workflows, regulatory compliance, strong revenue cycle performance, and exceptional patient experience in a mission-driven behavioral health setting.

As a Physician Practice Manager, you will play a critical leadership role in supporting physicians and clinical teams while ensuring smooth, compliant, and patient-centered practice operations. Your Role in Supporting Excellent Care

  • Lead daily practice operations to ensure efficient patient flow, accurate registration, and schedule integrity.
  • Partner closely with physicians and clinical leaders to optimize practice performance and patient satisfaction.
  • Oversee front-end revenue cycle processes, including insurance verification, prior authorizations, referrals, eligibility, and point-of-service collections.
  • Monitor revenue cycle performance (denials, claim edits, accounts receivable, payment posting) and collaborate with billing partners to resolve issues.
  • Ensure compliance with all applicable regulations and standards, including HIPAA, OSHA, CLIA (if applicable), and organizational policies.
  • Manage practice budgets, expenses, inventory, vendors, office equipment, and supplies.
  • Lead patient experience initiatives, address concerns, and perform service recovery as needed.
  • Track, analyze, and report key performance indicators such as productivity, no-show rates, patient satisfaction, and revenue cycle metrics.
  • Oversee administrative workflows within the EHR and practice management systems to support accurate scheduling, documentation, and data integrity.
  • Create and manage staff schedules and coverage plans; coordinate cross-training for continuity of operations.
  • Coordinate with ancillary departments and external partners to support care continuity and authorizations.
  • Maintain a safe, compliant work environment and support incident reporting, emergency procedures, and corrective actions.
  • Participate in organizational initiatives, trainings, committees, and continuous improvement efforts.
Requirements:

What We’re Looking For

  • Bachelor’s degree in healthcare administration, business administration, or a related field preferred.
  • Minimum of three (3) years of progressively responsible experience in a physician practice or regulated clinical setting.
  • Strong knowledge of practice management operations and revenue cycle fundamentals.
  • Demonstrated leadership, conflict resolution, and customer service skills.
  • Proficiency with EHR and practice management systems, Microsoft Office applications, and basic reporting tools.
  • Ability to communicate effectively with physicians, staff, patients, and external partners.

Additional Requirements

  • Pass PA Criminal Background Check, FBI Fingerprinting, and Childline Clearances.
  • Pass Drug Screen.
  • Successful completion of a 2-Step TB Test.
