Job Title: Director of Declarant Services

Position Summary:
The Director of Declarant Services provides operational leadership and execution oversight for Beacon’s Declarant Services division. This role is responsible for managing the declarant services team, developing and standardizing operating procedures, and serving as the primary escalation point for operational matters within declarant-controlled communities.

Reporting to the Vice President of Declarant Services, this position ensures consistent, compliant, and scalable execution of all declarant-phase operations. The Director drives internal performance, accountability, and process excellence while supporting the broader strategic growth initiatives of the division.

Key Responsibilities:

Operational Leadership

  • Oversee day-to-day operations of all declarant-controlled communities
  • Manage and mentor Community Association Managers and support staff assigned to declarant portfolios
  • Ensure timely execution of developer obligations, financial processes, vendor coordination, and compliance with governing documents
  • Establish measurable performance standards and reporting cadence for the declarant team

Standardization & Process Development

  • Draft, implement, and continuously refine Standard Operating Procedures (SOPs) specific to declarant communities
  • Oversee community startup processes, budget development, funding models, and subsidy tracking
  • Standardize assessment billing, vendor onboarding, construction coordination, and developer communication protocols
  • Develop structured transition and turnover preparation processes
  • Present SOPs and operational updates to executive leadership
  • Build scalable systems to support portfolio growth

Escalation & Risk Management

  • Serve as first line of escalation for operational issues within declarant-controlled communities
  • Identify and mitigate legal, financial, and reputational risks during development phases
  • Partner with Legal, Finance, and Regional leadership to resolve disputes or compliance concerns
  • Ensure documentation accuracy and audit readiness of declarant accounts and records

Cross-Functional Collaboration

  • Collaborate with Finance to ensure accurate reporting, subsidy tracking, reserve planning, and cost controls
  • Work closely with Transitions teams to ensure seamless turnover from declarant control to homeowner governance
  • Coordinate with Training and Regional leadership to support managers navigating developer-controlled environments

Performance & Accountability

  • Develop and monitor KPIs specific to declarant communities, including build-out progress, subsidy variance, vendor performance, and transition readiness
  • Monitor workload distribution to align team capacity with growth
  • Drive a culture of proactive communication, documentation, and operational excellence
Requirements:

Qualifications:

  • 7–10+ years of community association or property management experience
  • Direct experience managing declarant-controlled or developer-driven communities
  • Proven success building and implementing operational systems and SOPs
  • Strong knowledge of governing documents, developer rights, turnover processes, and association financial structures
  • Demonstrated leadership experience managing managers or multi-site portfolios
  • High financial acumen, including budget development and subsidy management
  • Excellent written and verbal communication skills
  • CMCA, AMS, PCAM or equivalent designation preferred
  • Real estate licensure required
