Job Overview
The Entwistle Company is seeking a highly organized and professional Executive Administrative Assistant to support the President and Chief Financial Officer in a fast-paced, regulated defense manufacturing environment. This role is critical to the effectiveness of the executive team and overall operation of the business. The successful candidate will manage complex schedules, coordinate high-level communications, and ensure seamless administrative execution, allowing executive leadership to remain focused on strategic, financial, and operational priorities.

Key Responsibilities:
Executive Administrative Support
- Manage complex calendars for the President and CFO, including meetings, travel, and internal reviews
- Coordinate logistics for meetings, customer visits, audits, and leadership sessions
- Prepare, format, organize, and distribute executive correspondence, reports, and presentations
- Track action items, deadlines, and follow ups on behalf of executive leadership
- Serve as the primary administrative point of contact for executive communications
Organization & Information Management
- Maintain organized and secure document control for confidential and sensitive materials
- Prepare, format, organize, and distribute executive documents, presentations, and reports as directed
- Manage document routing, version control, and distribution
- Support executive-level meetings by ensuring materials and logistics are fully prepared
Travel & Scheduling
- Arrange executive travel, lodging, itineraries, and related logistics
- Coordinate schedules with internal teams, customers, and external partners
- Anticipate conflicts and proactively adjust schedules as needed
Professional Judgement & Discretion
- Exercise sound judgment in prioritizing requests and managing competing demands
- Handle confidential information with discretion and professionalism
- Serve as a trusted administrative partner to executive leadership

Qualifications:
- Associate’s or Bachelor's degree in Business Administration or related field preferred
- 5+ years of experience providing administrative support to senior executives
- Experience supporting multiple executives simultaneously strongly preferred
- Prior exposure to manufacturing, defense, or regulated environments is a plus
- Strong proficiency in Microsoft Office (Outlook, Work, Excel, PowerPoint)
- Highly organized with strong attention to detail
- Excellent communication and time management skills
- Professional demeanor with the ability to handle sensitive information
