Position Overview

Are you passionate about Settlement and Integration and looking for hands-on experience in a dynamic environment? Join our team as an Administrative Assistant! In this dynamic role, you'll provide vital support to keep operations running smoothly, from organizing records and coordinating events to assisting with special projects. If you're detail-oriented, highly organized, and thrive in a fast-paced environment, we want to hear from you!

Reporting to the Program Manager, the selected candidate will support daily office operations, including filing, record-keeping, and data entry. They will help prepare and maintain program documents and reports, manage schedules, and coordinate meetings. Responsibilities also include preparing meeting materials, taking minutes, and organizing logistics for workshops, events, and training sessions, such as venue and guest speaker bookings. The candidate will provide on-site administrative support during events to ensure smooth execution. Additionally, they will track program metrics, maintain databases, and ensure the accuracy of records for evaluation and reporting purposes. They will also assist in developing and updating team resources, including templates, guides, and training materials.

Qualifications

The ideal candidate is enrolled in post-secondary education in administration, business, social services, or a related field (preferred). They possess strong organizational and time management skills with keen attention to detail, as well as proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and data entry systems. The candidate should have excellent verbal and written communication skills, with the ability to work independently and collaboratively in a team setting. Previous experience in administrative support or event coordination is an asset, and an interest in community services and supporting newcomers is an advantage.

This is funded by the Government of Canada through the Canada Summer Jobs Program. Qualified candidates must be:

  • Aged between 15 and 30 years old on the start date of the job;
  • Have a valid Social Insurance Number (SIN); and
  • Be a Canadian citizen, a permanent Resident of Canada, or a person who has been granted refugee status in Canada.

This role requires the incumbent to undergo a Police Information Check (PIC), and a Vulnerable Sector Check by the Ministry of Justice.
