Summary:

Provides operations support to management. This position is accountable to prepare accurate, complete and timely information pertaining to the operations department. The Operations Coordinator is expected to proactively identify and bring to the attention of the Operations Manager and Branch Manager any issues that may have a potential impact on the fleet balance both in the yard and on site. Timely identification is essential.

Key Responsibilities:

• Order refractory materials from approved suppliers and ensure accuracy of purchase orders.
• Coordinate with manufacturers, freight forwarders, and carriers to schedule and arrange shipping of refractory materials.
• Monitor and track shipments, ensuring timely delivery to Alliances Canadian branches.
• Review and verify shipping documents including bills of lading, customs documentation, and freight invoices.
• Resolve any transportation delays, discrepancies, or issues with carriers or suppliers.
• Support branch teams with logistics planning for large project shipments and material allocations.
• Assist in managing branch inventory levels by monitoring stock movement and usage.
• Maintain accurate records of incoming and outgoing materials across the branch network through our 3rd party inventory management system (Fishbowl).
• Work closely with warehouse and project teams to ensure material readiness for jobsites.
• Participate in physical inventory counts and reconciliations, ensuring accuracy of records.
• Provide reporting and updates on material flow, shipment status, and inventory levels.
• Contribute to continuous improvement of logistics and inventory management practices.
• Ensure competitive pricing from all manufacturers throughout the ordering process.
• Provide up-to-date pricing for our Project Teams upon request.
• Order, track, and manage inventory for safety consumables and general operational consumables (PPE, safety supplies, shop and field consumables).
• Monitor usage trends and forecast consumable requirements to maintain appropriate stock levels and prevent shortages.
• Coordinate with operations, warehouse, and safety teams to ensure consumables meet company and site-specific safety requirements.
• Maintain accurate consumable inventory records and support periodic audits and reconciliations.
• Identify opportunities to standardize consumables and improve cost control and efficiency.
