The Maintenance Operations Coordinator ensures the smooth and efficient operation of the Maintenance department. This role serves as the administrative and coordination backbone of the team, supporting Maintenance Manager & Supervisor, scheduling internal technicians and external contractors, and ensuring work orders are properly assigned, completed, and financially reconciled.
Acting as the key link between Whistler Platinum and our approved trade partners, this position requires strong communication, organization, financial oversight, and problem-solving skills. The ideal candidate thrives in a fast-paced environment and takes ownership of process accuracy, cost control, and follow-through.

What you'll do
The Maintenance Operations Coordinator is responsible for performing the following tasks to the highest standards.
· Assist the Maintenance Manager & Supervisor in the day-to-day coordination of the team.
· Review and prioritize outstanding work orders to ensure timely completion.
· Schedule internal maintenance tasks and external contractor services.
· Act as the primary liaison between Whistler Platinum and trade partners.
· Review and process all maintenance invoices for accuracy and completeness.
· Ensure correct cost allocation and billing to guests, homeowners, or company accounts.
· Monitor maintenance budgets and recurring cost patterns.
· Promptly report and communicate incident reports, damage, or issues of concern.
· Maintain up-to-date property records and documentation within internal systems.
· Oversee and maintain maintenance inventory and place orders for required parts and supplies.
· Coordinate the preventive maintenance program across the portfolio.
· Schedule routine maintenance for company vehicles and fleet.
· Execute and support seasonal projects (winterization, spring readiness, etc.).
· Become an expert on the specifics of our vacation homes, providing troubleshooting guidance to the team.
· Respond efficiently to incoming internal requests and provide detailed follow-up to other departments.
· Primarily office-based, with occasional property visits to maintain up-to-date operational knowledge.
· Participate in operational training, including Maintenance Inspector training, to build portfolio expertise.
· Other duties as required — we operate as a collaborative team where flexibility and support are essential.
Who are we looking for?
· Previous experience in a maintenance, construction, property management, or trades office environment.
· Strong administrative skills, including tracking, reporting, and high-level organization (Excel proficiency required).
· Experience with planning, scheduling, and coordinating multiple stakeholders.
· Comfortable reviewing invoices and ensuring accurate cost allocation.
· Strong communicator able to clearly relay information via phone, email, and video calls.
· Detail-oriented with strong financial awareness.
· Thrives in a fast-paced, team-oriented environment.
· Ability to foster strong working relationships with internal departments and external vendors.
· Outgoing, solution-focused, and proactive in problem-solving.
· Valid driver’s license preferred.

You must be legally eligible to work in Canada. We are unable to assist you in obtaining Canadian work authorization.
