What We Are Looking For:
We are seeking a highly organized and detail-oriented operations professional to support the actuarial department’s day-to-day functions, executive communications, and systems administration. This individual will serve as a central coordination point across actuarial teams to ensure smooth operations, timely deliverables, and high-quality output.
The ideal candidate is proactive, structured, and comfortable working in a technical, deadline-driven environment. They take pride in producing polished executive materials, maintaining strong operational controls, and anticipating needs before they arise. This role reports to the Chief Actuary and is required to be onsite 3 days a week at our Durham, NC headquarters.
What You Will Do:
1. Presentation & Communication Support
- Prepare, edit, and format PowerPoint presentations for senior leadership meetings, assumption reviews, board updates, and departmental communications.
- Maintain consistent visual standards and quality across actuarial presentations.
- Assist in drafting summaries, talking points, and meeting materials.
2. Department Budget & Vendor Management
- Assist in developing and monitoring the actuarial department budget, including software licenses, professional development, consulting spend, and compute costs.
- Track actuals vs. budget, identify cost-saving opportunities.
- Support procurement and vendor management processes related to actuarial tools (e.g., AXIS licenses, compute resources, data tools).
3. Meeting, Training & Continuing Education Coordination
- Schedule and coordinate large cross-functional meetings, assumption review cycles, quarterly close calendars, and annual planning sessions.
- Organize and host webinars, lunch-and-learns, and continuing education sessions for the actuarial department.
- Prepare agendas, distribute materials, and document meeting minutes as needed.
4. Systems, Access & Compute Operations
- Monitor grid compute usage for AXIS and other actuarial systems; identify bottlenecks, track trends, and escalate issues proactively.
- Coordinate with IT/Infrastructure to optimize grid performance, resolve outages, and support capacity planning.
- Manage AXIS user access and key administration, including:
- issuing licenses and user keys to new hires, removing access for departing employees, maintaining accurate license and user key inventories.
- Maintain operational dashboards and workflow trackers for reporting deadlines, audit requests, and project progress.
5. Departmental Administration
- Support onboarding of new actuarial hires and interns (access setup, system walkthroughs, training coordination).
- Maintain organized documentation for processes, templates, calendars, and department standards.
- Assist leadership with ad-hoc operational tasks and continuous improvement initiatives.

Requirements:What We Require:
- Experience in office administration, operations coordination, or executive support roles
- Strong proficiency in PowerPoint and Excel (including building clear, professional slides).
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
Preferred
- Exposure to actuarial, finance, or insurance environments.
- Experience with budgeting, reporting, or operational coordination.
- Familiarity with compute grids, cloud infrastructure, or technical systems administration.
- Experience organizing large recurring meetings or executive-level presentations.
