About This Position
Position Summary
The Executive Director reports to the Board of Directors and is responsible for the overall day-to-day management, growth, and administration of operations. This includes the development and oversight of community youth programs, sports activities, and local community events, as well as financial management, sponsorship development, and grant funding. The Executive Director ensures all programs and events are conducted in a safe, welcoming, and positive environment that promotes recreation, teamwork, and community engagement.
Primary Responsibilities
• Provides overall leadership and direction for the organization, ensuring effective operations and program delivery.
• Responsible for the planning, development, marketing, and execution of all community events and sports programs administered by the organization.
• Oversees and manages programs such as: Tee-Ball, Winter Volleyball, Small Fry Basketball, Mini Cheer, Girls and Boys Elementary Basketball, Elementary Track, Summer Tennis, Summer Adventures, Adult Pickleball, and others as developed.
• Coordinates and provides oversight for major annual community events, including the Parkersburg Fishing Derby, the WV State Honey Festival, and the Harvest Moon Festival.
• Provides on-site supervision and support at events and programs, ensuring safety, smooth operation, and a positive participant experience.
• Supervises all staff, including the Assistant Director, Administrative Secretary, contract employees (e.g., site supervisors, gate attendants, officials), and volunteers (e.g., coaches, scorekeepers, clock keepers).
• Reviews and updates contracts and agreements for Board review and approval.
• Actively recruits, trains, and manages volunteers to support programs and events.
• Ensures compliance with all organizational policies and standard operating procedures.
• Responsible for the procurement of sponsorships, grants, and community donations, including submission and follow-up on all grant applications (e.g., City of Parkersburg, Wood County Commission, Parkersburg Area Community Foundation, Henry Logan Grant).
• Ensures routine public office hours are maintained (Monday–Friday, 8:00 a.m. to 4:00 p.m.).
• Maintains regular and reliable attendance, with flexibility to work evenings, weekends, and some holidays as required.
• Attends and directs all monthly Board meetings.
• Prepares and presents reports, updates, and recommendations to the Board of Directors.
• Serves as Treasurer and manages the financial operations of the organization, including income, deposits, payments, budgeting, and reporting.
• Maintains and reconciles the general ledger, prepares monthly financial and activity reports for Board meetings, and supports the Accountant’s office with accurate records.
• Maintains and updates the organization’s website and social media platforms to ensure timely and accurate public information.
• Oversees the safety, cleanliness, and readiness of all program sites, promptly reporting incidents or maintenance issues.
• Orders and maintains office and program supplies, following established purchasing and approval procedures.
• Collects and analyzes feedback and surveys from participants and parents to improve programming and identify future opportunities.
• Serves as an ex-officio member of all organizational committees.
• Performs other related duties and projects as assigned by the Board.
Skills and Qualifications
• Progressive experience in recreation management, nonprofit administration, or community programming, including prior experience in an Assistant Director or similar leadership role, with demonstrated responsibility for budgeting, staff supervision, and program oversight.
• Strong leadership, organizational, and communication skills.
• Ability to develop and manage budgets, track financials, and prepare reports accurately.
• Proficient in Microsoft Office, basic accounting software (e.g., QuickBooks), and online communication tools.
• Demonstrated ability to obtain sponsorships, coordinate grants, and manage donor relationships.
• Ability to manage multiple projects and exercise sound judgment.
• Ability to work independently, professionally, and as part of a team.
• Demonstrated commitment to customer service, community engagement, and teamwork.
• Must successfully complete a background screening.
