About the job:

Come join our friendly and dedicated Events and Athletics team to help manage our reservations process and assist with special events, athletic programming, rentals and administration. You'll be responsible for performing varied customer service duties including reception, customer transactions, and general office assistance.

A Day in the Life:

The information provided below encompasses the typical duties and capabilities linked with this classification. Duties may include, but are not limited to the following:

  • Provides excellent customer service both externally and internally. Creates a positive experience for customers through professional and courteous behavior and effective problem resolution.
  • Answers multi-line telephone and greets occasional patrons at the front desk, providing support for athletic programming, park and facility rental guidelines and reservation processes.
  • Assist with preparation and communication regarding contractual and use agreements with external partners
  • Utilizing the district’s registration software to process reservations for district rentals and manage athletic program details.
  • Understand and process financial transactions relevant to rentals and athletic programs, including reservations, registrations, refunds, and deposits.
  • Provide program assistance for internal programming, including communication with coaches and parents, enrollment adjustments and updates, and scheduling assistance.
  • Maintain inventory of rental and program needs, including certificates, supplies and equipment, first aid kits, and insurance documents.
  • Provides various clerical duties such as data entry, word processing, filing, photocopying, printing facility use agreements, and roster management.
  • Assist with internal and external schedule creation and management for events and athletics.
  • Occasionally monitors program and rental sites and reports any damage or cleaning needs. Identifies and reports safety concerns promptly to the appropriate person(s).
  • Performs emergency support as directed in the emergency action plan.
  • Acts as a Mandatory Reporter; reports incidents of child abuse/neglect.
  • Communicates and reports safety concerns promptly to the appropriate person(s).
  • Performs other job-related duties as assigned.

Schedule:

This is a part-time (30 hours per week) limited-duration position ending on July 1st, 2026

  • The primary duties of this position will work seasonally between event and athletic support.
  • Daily schedules will adjust accordingly and will be established with the Events and Athletics Manager.
  • Occasional evening and weekend work may be required depending on departmental needs.
Requirements:

  • Work independently while also able to work cooperatively with others;
  • Navigate difficult conversations or conversations with upset people while maintaining rapport;
  • Proficiently operate a variety of office equipment including computer, phone system, and copy machine;
  • Work effectively with frequent interruptions;
  • Demonstrate excellent multi-tasking skills;
  • Create a positive, constructive and respectful relationship with staff and the general public.

What we're looking for:
Education, Experience, and Training

  1. Must be a minimum of 16 years of age; AND
  2. High school diploma or currently attending school; AND
  3. Some previous related volunteer or work experience in customer service; OR
  4. Any satisfactory combination of education, experience and training.
  5. Bilingual in English and Spanish preferred

Position Specific Requirement

This position may require reporting to additional sites throughout the workday, typically achieved in a motor vehicle OR other modes of transportation. If choosing a personal vehicle, possession of, or ability to obtain valid Oregon driver’s license within 30 days with an acceptable driving history as defined by district driving policy.

If you do not have a driver’s license or have an unacceptable driving history, it does not disqualify you from this position, only from driving a vehicle for district business.

Working conditions:

The following are working conditions, including environmental and physical demands, required for this classification.

  • Duties are primarily performed in an office cubicle environment while sitting or standing at a desk
  • Remain in a stationary position (sitting or standing) for extended periods of time, move about the office occasionally.
  • Making substantial movements (motions) of the wrists, hands, and/or fingers.
  • Moving about on foot to accomplish tasks, particularly for long distance, occasionally
  • Ability to maintain sustained concentration on computer screens; use keyboards and variety of peripherals.
  • Expressing or exchanging ideas by means of the spoken word; those activities where detailed or important spoken instructions must be conveyed to other works accurately, loudly or quickly.
  • Perceiving the nature of sounds at normal speaking levels with or without correction and having the ability to receive detailed information through oral communication and making fine discriminations in sound.
  • Ability to have clarity of vision at 20 inches or less
  • Ability to see objects or instructions with visual acuity at a distance of 3 feet or more, occasionally.
  • The flow of work and character of duties involve normal mental and visual attention much or all of the time.
  • Physical exertion includes the ability to lift, carry and push up to 15 pounds for books, files, manuals or boxes.
  • Requires crouching, bending, kneeling or reaching to perform filing activities.

Supervision Received:
Works under the general supervision of the Rentals & Events Supervisor who assigns work. Receives direction and leadership from Rentals & Events Specialists. Carries out work independently but work and decisions are typically reviewed prior to final execution.

Supervision Exercised:
Supervision is not normally a responsibility of this position.
