Job Description
The Administrative Assistant provides essential administrative and operational support to the Food & Nutrition Department. This role supports daily operations, financial reporting, catering and event coordination, retail marketing, patient engagement initiatives, and departmental workflow. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced healthcare environment.
Key Responsibilities
- Provide day-to-day administrative support to the Director, including calendar management, correspondence, and project coordination
- Prepare, organize, and maintain reports, presentations, and departmental documentation
- Organize meeting agendas, topics, and daily huddles
- Maintain accurate filing systems and records with confidentiality
- Support scheduling, reporting, and special projects as needed
Financial & Operational
- Assist with tracking departmental expenses, invoices, and supply orders
- Support preparation of financial reports and month-end summaries
- Submit weekly vendor orders for groceries, supplements, and supplies
- Calculate and maintain floor stock levels for each unit and Emergency Department
Staffing & Scheduling
- Assist with onboarding new hires and related documentation
- Input employee schedules into ADP and distribute printed schedules
Catering, Events & Engagement
- Coordinates and supports catering logistics for internal events and hospital functions, ensuring timely, high-quality service in partnership with culinary staff.
- Organizes patient celebrations and employee engagement activities in collaboration with clinical and departmental teams.
- Maintains the department events calendar and oversees planning details to ensure smooth execution of all events.
Patient Meal Service
- Ensures accurate and timely entry of patient diet orders to support safe meal service.
- Assists with late tray delivery in coordination with host/hostess staff to meet patient needs.
- Maintains daily rounding logs and completes food labeling and quality inspection reports to ensure compliance and service quality.
Qualifications
- 2+ years of administrative experience (healthcare or food service a plus)
- Strong organizational and multitasking skills with attention to detail
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Experience with ADP or similar systems preferred
- Excellent communication and interpersonal skills
- Ability to maintain confidentiality and work independently
- Collaborative, proactive, and service-oriented approach
