Care and Share exists to ensure that the one in nine Southern Coloradans at risk of hunger have access to healthy and nutritious food to thrive. Position Summary:

The main responsibility for this position is to support the Agency Hotline, troubleshooting, and coordinating with multiple locations and departments to come up with solutions. Acts as the first point of contact for visitors and callers for the Alamosa Distribution Center. Assists Operations, Quality Assurance, and Agency Relations team members to ensure smooth operations.

Duties and Responsibilities:

  • Provides excellent customer service and support to Partner Agencies calling the Agency Hotline. Assists with the administration of Agency Express, Meal Connect, and Service Insights in Meal Connect (SIMC). Maintains extensive knowledge of the Voluntary Food Access Program (VFAP), and all aspects of the order and delivery process. Provides technical support and training to partner agencies as needed.
  • Greets and welcomes in-person Care and Share visitors. Gives tours and provides emergency food bags and other resources to neighbors. Accepts and expresses gratitude for food and monetary donations. Maintains extensive knowledge of Care and Share's programs and services.
  • Provides excellent customer service to those seeking information and help by phone or email. Deescalates people in crisis and helps them find community resources and solutions, including Care and Share’s Find Food tool to assist neighbors seeking assistance finding nearby pantries.
  • Monitors office supplies and works with the Procurement and IT Director to order. Assists team members with additional office supply orders as requested. Ensures the orderliness of the common areas of the office.
  • Evaluates the available desirable product inventory, collects partner agency data, and determines appropriate product allocations using an algorithm.
  • Utilizes neighbor-informed data to move highly perishable and short-dated foods to targeted partner agencies. Communicates with agencies about food opportunities and assists in adding to upcoming orders.
  • Runs regular weekly, monthly, quarterly, annual, and ad hoc reports to provide up-to-date information to collaborators across the organization.
  • Collaborates with and supports other employees on various teams to promote an innovative team environment and support agency partnerships. Assists with implementing process improvement initiatives.
  • Assists partner agencies with upholding USDA, Feeding America, Care and Share compliance standards and strategic goals. Helps to maintain accurate and complete documentation to comply with Feeding America, the American Institute of Baking (AIB), and other regulatory agencies.
  • Manages missing compliance documents to include food safety certificates, health inspections, Agency Agreements, IUF forms, insurance for USDA sites, and annual Civil Rights training.
Requirements:

Required Skills/Abilities:

  • Advanced with Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Experience with Microsoft Dynamics (Ceres) or another enterprise resource planning (ERP) software preferred.
  • Ability to manage conflicting priorities and adapt to continuous change.
  • Excellent organizational skills, attention to detail, and ability to meet deadlines.
  • Ability to collaborate effectively across multiple departments and locations.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Strong analytical and problem-solving skills.

Education and Experience:

  • Associates degree or a combination of experience and education.
  • Three years of experience in customer service required.
  • At least one year of experience in data management and reporting required.
  • Experience working in social services preferred.

Physical Requirements:

  • Prolonged periods of time sitting at a desk and working on a computer and some periods of time walking and standing.
  • Must be able to lift up to 25 pounds occasionally.
  • Ability to lift up to 50 pounds preferred. This position may be asked to assist with fulfilling agency orders when the operations team is behind. This includes manually gathering and stacking all the products listed on an order sheet onto pallets and maneuvering pallet jacks.

Travel Requirements:

  • Must possess a valid state issued driver's license and maintain a clean driving record.
  • Access to a reliable personal vehicle for work-related travel is preferred.
  • Must maintain personal automobile insurance that meets company minimum coverage requirements, if a personal vehicle is used for work-related travel.
  • Occasional travel throughout Southern Colorado is required.
