Job Summary:

The Document Specialist processes inbound and outbound mail and assists with scanning, faxing, and record keeping. Additionally, the Document Specialist may assist vendors, process servers, delivery people, and other firm visitors.

This is an in-person position and requires working closely with teammates throughout the day.

Essential Duties:

· Opens, sorts, scans, and distributes inbound mail, payments, and legal documents

· Prepares outbound mail, including UPS, FedEx, certified mail, and bulk mail processing using a folder/inserter machine

· Sends outbound faxes

· Assists in keeping accurate daily mail logs

· Signs in and assists firm visitors, including vendors, process servers, and delivery people. No sales or negotiations are included in this role

Requirements:

Education/Experience:

· High school or GED required

· Prior mailroom or legal assistant experience is a plus

· Prior leadership experience is a plus

Knowledge/Skills/Abilities:

· Must be able to read English fluently

· Must be comfortable working in a fast-paced environment with multiple priorities

· Must have strong communication skills and emotional intelligence

· Must be able to use office equipment, including computers, printers, and scanner

· Familiarity with Microsoft Outlook, Microsoft Office, and mailroom machines is a plus

· Attention to detail, organization, and ability to prioritize multiple projects

· This is a full-time, in-person position located at the Vernon Hills office
