About This Position

Description:

The Assistant Property Manager is responsible for supporting the protection, maintenance, and enhancement of real estate assets to maximize owner returns while serving residents, customers, and the community. This role assists in coordinating day-to-day property operations and leasing activities and represents the property owner to residents and the public. Handles sensitive and confidential information, responds to non-routine inquiries, and interacts with a diverse range of internal and external stakeholders. Requires independent judgment to plan, prioritize, and manage a varied workload while adhering to company policies and procedures.

Responsibilities

· Perform daily financial operations for the community, including collecting and posting rent, fees, and other payments; preparing bank deposits and reconciliations; generating financial reports; and processing invoices and payables.

· Operate property management software, ensuring accurate data entry, system updates, and backups to maintain system integrity.

· Review resident accounts to identify unpaid or late fees, communicate with residents regarding balances, implement collection procedures, and enforce lease terms to maximize revenue.

· Review and submit vendor, contractor, and service provider invoices, reconcile work or products received, obtain manager approval, code charges appropriately, and coordinate between vendors, accounting, and owners.

· Follow company procedures for evictions, including proper notice, legal processes, and representing the community in court as required.

· Process resident move-outs by reviewing lease terms and notices, applying deposits or fees as appropriate, and completing the disposition in accordance with company procedures and legal requirements.

· Promote resident satisfaction and retention by responding promptly to complaints, inquiries, and service requests, and taking appropriate action to resolve issues.

· Serve as on-site supervisor in the community manager’s absence, delegating daily tasks, coordinating maintenance and make-ready activities, and managing operations in compliance with company policies.

· Assist in managing owner relationships by conducting community tours, providing performance updates, and responding to owner requests as needed.

Travel

Travel may be required for this position, including driving between properties or sites, with mileage reimbursement provided.

Work Environment

This role operates primarily in a professional office environment, while frequently walking outdoors on property grounds is required. This position routinely uses computers, phones, photocopiers, filing cabinets, and other standard office equipment.

Physical Demands - The physical demands described here are representative of those required to successfully perform the essential functions of this job:

Employees are regularly required to talk, hear, and use hands and arms to operate office equipment, handle documents, and perform property-related tasks. Frequent activities include standing, walking, reaching, and using hands for filing, typing, or inspections.

Occasionally, employees may lift or carry items up to 25 pounds, stoop, bend, kneel, or walk throughout properties, including indoor and outdoor areas. Additional tasks may include responding to service requests, assisting with leasing or marketing activities, and performing light housekeeping or staging in model units and common areas.

Preferred Education, Experience, and Qualifications

· Bachelor’s degree in Business Administration, Real Estate, Property Management, or a related field (or equivalent experience)

· One to two years of property management experience

· Strong knowledge of leasing practices, tenant relations, and occupancy management

· Familiarity with applicable laws and regulations (e.g., Fair Housing, landlord-tenant laws)

· Experience with property management software

· Ability to handle multiple priorities and work independently in a fast-paced environment

· Valid driver’s license and reliable transportation.

· CSM, CPM, or RPA credentials preferred.
