About This Position

Job Summary:

The Operations Supervisor enhances patient outcomes by supporting performance improvement activities. This person is responsible for supervising the Environmental Services personnel throughout Surgical Services. This person compares performance and incorporates customer feedback to enable intense evaluation of patterns and trends in Surgical Services. The Operations Supervisor collaborates with Director of Surgical Services, Manager of Surgery, Assistant Manager of Surgery, Department Supervisors, Specialty Supervisors, Patient Care Supervisors and staff members. Performs clerical department functions, plans and organizes displays, and designs departmental communication materials. The Operations Supervisor serves as the project leader for programs and initatives of the Surgical Services Team. This position promotes communication throughout the department to ensure appropriate infomration is reaching key personnel in a timely manner. Maintains ongoing reporting mechanisms to communicate progress to the Surgical Services leadership and throughtout the department. Participates in organizing meetings and taking minutes. Assesses resources as appropriate to support initatives and achieves milestones. Coordinates workgroups, processes, and workflows to maximize efficiencies and ensure work is being performed at the right levels. Demonstrates the ability to be a team member. Demonstrates knowledge and skills to appropriately communicate and interact with the patients, families, and visitors of all age groups while being sensitive to their cultural and religious beliefs. Strategic goals include improving patient outcomes and experience, enhancing culture of safety and staff/physician engagement, reducing cost without compromise to care, and improving key metrics. Reports directly to the Surgical Services Director.

Performance Expectations:

  • Supervises all the Environmental Service staff throughout Surgical Services.
  • Consistently and accurately collects, aggregates, and reports data to support decision making to director, managers and staff.
  • Consistantly and accurately updates and processes departmental contracts.
  • Identifies patterns and trends in data by analyzing multiple sources of feedback from various databases to assist others in analyzing and interpreting performance improvement information
  • Consistently provides quality customer service to staff at all levels across FGH by promptly assisting them in a timely manner when they need to obtain information from the hospital’s database systems
  • Consistently communicates effectively and expresses ideas clearly using good listening, verbal, non-verbal, and written skills to ensure internal customers have their needs met.
  • Effectively performs all clerical and secretarial needs as required.
  • Provides as a resource and back up to the Surgery Scheduler Supervisor.
  • Covers the surgery desk when needed.
  • Collaborates between all surgical services departments including ENDO, PACU, SDS and Central Sterile.
  • Collaborates and revises departmental policies, procedures, SOCs and job descriptions.
  • Assists with training new decision support staff, operations coordinator and EVS.
  • Ability to effectively communicate with patients, physicians, and co-workers in a manner consistent with a customer service focus and application of positive language principles.
  • Demonstrates independence and exercises sound judgment in interactions with physicians and the inter-professional care team.
  • Promotes a positive work environment with the Surgical Services team
  • Role models fair and consistent leadership skills for effective team dynamics.
  • Demonstrates technical aptitude for performing secretarial, general office duties and working knowledge of medical terminology in the surgical department.
  • Demonstrates the aptitude for composing and typing information along with other material designated by the Director of Surgical Services and Manager of Surgery.
  • Demonstrates efficient skills in patient accounting, decision support, payroll, and other financial systems to assist the surgical management team in decision making.
  • Demonstrates the aptitude for serving as timekeeper, making appointments and screening telephone calls for the surgical management team.
  • Demonstrates the ability to coordinate, schedule and take minutes at designated department meetings.
  • Demonstrates technical aptitude for operating telephone, fax, scanner, calculator, label printer and computer.
  • Demonstrates the ability to communicate and interact with visitors, vendors, employees, physicians and management effectively.
  • Demonstrates experience managing simulataneous complex initiatives crossing organizational boundaries.
  • Knowledge of process improvment and project management tools.
  • Ability to collaborate and interact effectively at all levels with a variety of organizational entities and personnel across disciplines, clinical departments, and inpatient and outpatient settings.
  • Demonstrated critical thinking and problem-solving skills with the ability to pursue desired outcomes in complexity and ambiguity
  • Excellent facilitation, conflict resolution, and interpersonal skills
  • Maintain ongoing reporting mechanisms to communicate progress to Surgical Services leadership (Exective Team, Leadership Councel, and Administrative Team) and throughout the department.
  • Assess resources as appropriate to support initatives and achieve milestones.
  • Coordinate workgroups, processes, and workflows to maximize efficiencies and ensure work is being performed at the right levels.
  • Efficiently, uses programs such as Lawson, Docuphase, Excel, PowerPoint, Word, Outlook and other as deemed necessary.
  • Accurately keep monthly logs i.e.… tissue tracking, temperature, IUSS, safety…
  • Ensures proper documentation related IUSS log and creates data analyzation accordingly
  • Timely and accurately keeps up with surgical invoices i.e... Stryker Endo, Leases, Gulf South Lithotripsy, HBC Physicians’ invoice, CRNA call invoice, Specialty Care, HBC GI invoices, Medical Director invoice, Anesthesia Call invoice, etc.…..
  • Accurately audits data for reasonableness, investigates variances, and works with surgical administrative team to make appropriate corrections.
  • Thinks creatively, anticipates and responds appropriately.
  • Orders departmental supplies and equipment as delegated.
  • Able to carry out a variety of duties for departments under the supervision of the Director of Surgical Services and Manager of Surgery.
  • Proactively seeks opportunities to enhance knowledge and learning towards expertise.
  • Maintains all HealthStream assignments prior to the deadline.
  • Provides feedback to Surgery Patient Care Manager and Director of Surgical Services regarding patient care, budgetary, and strategic planning opportunities for improvement.
  • Sets a positive example to all staff in daily activities.
  • Participates in all competencies planned for the job role prior to deadlines.
  • Complies with the Surgical Services policy.
  • Follows the policies in the Employee Handbook.
  • The spreading of rumors and gossip creates unnecessary turmoil, weakens working relationships, and is contrary to the spirit of the hospital and is prohibited.
  • Uses “We Care” philosophy in daily communication.
  • Works assigned shift and responds when called upon for additional or emergency services.
  • Required appropriate use of departments’ communication app.

Qualifications:

Education/Skills

  • High school diploma or equivalent required.
  • Extensive work experience or collegiate studies.
  • Bachelor degree required and Masters Degree preferred.
  • Minimal of 1 year of previous surgical experience preferred.

Work Experience:

  • Experience in Information Systems management functions is required.
  • Required to have a working knowledge of data processing systems and data analysis.
  • Organization ability and strong communication skills are required.
  • Minimal 2 years experience in project coordination and process improvement preferred.
