Above & Beyond ABA Therapy is a fast-growing, mission-driven provider of ABA services, supporting children and families across 9 states with 1,500+ dedicated teammates. We are passionate about delivering high-quality, compassionate care — and none of that is possible without strong operational support behind the scenes. That’s where you come in. We’re looking for a Scheduling Coordinator to manage complex schedules for our therapists and ensure our families receive consistent, reliable services.
In this role, you will own the day-to-day scheduling operations that keep our services running smoothly. You’ll work at our Toms River, NJ headquarters and partner closely with clinical, operations, and administrative teammates.
🌟 What you will do- Coordinate and manage daily and weekly schedules for therapists across multiple locations and home-based sessions
- Match therapists with clients based on availability, location, skill set, language, and clinical needs
- Monitor schedule changes in real time, including cancellations, no-shows, last-minute requests, and therapist call-outs
- Proactively fill open sessions to maximize therapist productivity and meet client care goals
- Communicate schedule updates clearly and promptly to therapists, families, and leadership
- Collaborate with Clinical Directors and Operations leaders to align schedules with authorization hours, treatment plans, and staffing needs
- Maintain accurate information in the scheduling system/EMR and ensure data integrity
- Track key scheduling metrics such as cancellations, utilization, and coverage gaps
- Anticipate scheduling conflicts and develop creative solutions that support both families and teammates
- Provide excellent customer service to internal and external stakeholders
- Support special projects related to scheduling process improvements as the organization grows
- 2+ years of experience in scheduling, coordination, or operations support
- Healthcare, therapy, ABA, medical office, home health, or multi-site scheduling experience is a strong plus
- Proven ability to manage high-volume, complex schedules with many variables
- Strong organizational skills with sharp attention to detail and follow-through
- Comfort working in a fast-paced, rapidly changing environment
- Clear and professional communication skills, both written and verbal
- Confidence using technology and systems
- Experience with scheduling platforms, EMR systems, or similar tools is helpful
- A collaborative, solution-focused mindset and a positive attitude
- High level of integrity, confidentiality, and respect for families and teammates
- Experience in ABA, behavioral health, healthcare administration, or a related field
- Familiarity with insurance authorizations, visit limits, and productivity targets
- Prior work supporting a multi-location or field-based workforce
- Bilingual skills are a plus (English, Spanish)
