Part-Time

Summary:

The Part-Time Receptionist & Office Support Associate plays a vital role in ensuring a seamless guest & staff experience while supporting multiple accounts. This position provides office hospitality, manages front desk operations, oversees mail and shipping logistics, maintains kitchen and supply areas, and assists with conference room coordination. The ideal candidate thrives in a professional setting, proactively anticipates needs, and collaborates effectively with various departments.

Key Responsibilities

Guest & Staff Experience:

• Provide exceptional customer service, creating a welcoming environment and ensuring a positive first impression for guests and staff.

• Deliver personalized, detail-oriented assistance, proactively addressing guest & staff needs with timely follow-ups.

• Maintain transparency with clients by providing timely updates on service requests.

Reception & Office Hospitality:

Oversee reception operations, ensuring a warm, professional atmosphere that reflects high-end office hospitality standards.

• Contact hosts via phone, Microsoft Teams, or email to coordinate guest escorts for a seamless arrival experience.

• Monitor and document reception services, including guest management, parking validation, and structured client reporting (daily, weekly, monthly, quarterly).

• Answer customer inquiries regarding service requests, shipping status, and facility-related concerns.

• Handle incoming calls professionally, promptly assessing caller needs and providing assistance. Efficiently transfer calls, minimize wait times, and take clear, accurate messages.

• Relay messages via phone, email, or internal tools while maintaining discretion with sensitive information.

• Address basic concerns, offer solutions, and track inquiries through a call log to ensure smooth communication flow.

Mail, Shipping & Receiving:

• Receive, sort, and deliver all USPS mail and accountable packages across single and/or multi-building campus.

• Process incoming & outgoing mail within designated time frames, ensuring timely delivery.

• Coordinate daily pickup and delivery of mail and packages for efficient handling.

• Monitor incoming shipments for hazardous or suspicious materials, ensuring safety compliance.

• Research unidentified mail and reroute items to designated recipients.

• Obtain required signatures for accountable mail, packages, and tracked shipments.

• Coordinate courier services upon request.

Kitchen, Supplies & Inventory Management:

• Maintain kitchen and workroom supplies, ensuring areas are stocked, organized, and presentable.

• Oversee inventory management, ordering and replenishing office supplies as needed.

• Conduct routine inspections of lobbies, conference rooms, and common spaces, ensuring cleanliness and proper supply levels.

Conference Room Support & Event Coordination:

• Assist with meeting setup, ensuring conference rooms are clean, properly stocked, and ready for scheduled discussions.

• Manage catering logistics, coordinating deliveries, escorting vendors, verifying orders, and providing timely follow-ups.

Security & Facility Coordination:

• Manage guest & staff security badges, tracking issuance, returns, and conducting daily audits for compliance.

• Submit and follow up on facility service requests, including HVAC adjustments, spills, and structural repairs.

• Collaborate with internal teams (facilities, engineering, shipping & receiving, security, culinary, and events) to support cohesive building operations.

Additional Responsibilities:

• Perform office support tasks as assigned, ensuring an efficient workplace environment.

Required Qualifications:

• High School diploma or GED

Preferred Qualifications:

• 5-Star Level Customer Service

• Proficient in Microsoft Office 365 (Excel, Word, Outlook)

• Able to effectively communicate with all levels of the organization

• Comfort engaging with guests, staff, and vendors in a fast-paced office hospitality setting.

• Strong communication, organizational, and multitasking skills.

• Written and oral Communication skills

Physical Requirements

• Able to occasionally lift up to 50 lbs.

• Ability to stand for extended periods, maintaining a professional and attentive presenc
