Position Highlights:

As a Membership Administration & Fulfillment Coordinator you’ll play a vital role in the Membership Division team at Lions International.

The Membership Administration & Fulfillment Coordinator facilitates the administration of assigned Membership Division programs and initiatives. This role manages transactional processing, material ordering and shipment coordination, system updates and recurring operational tasks to ensure accurate and timely delivery.

The coordinator supports execution by maintaining data integrity, tracking program activity, processing recognition materials and administrative changes, and ensuring established workflows and documentation standards are followed.

What You’ll Do:

  1. Provides administrative and operational support for assigned Membership Division programs and initiatives by reviewing transactions, maintaining records and ensuring timely completion of recurring tasks.

  1. Processes and administers recognition materials, including verification, tracking, fulfillment coordination and preparation of routine reports.

  1. Manages ordering, production and shipment of program materials in coordination with internal service partners and vendors, ensuring accuracy and timely delivery.

  1. Processes club and program maintenance requests, including status updates, transitions and related administrative changes in internal systems.

  1. Maintains and updates internal tracking systems to ensure accurate and current data.

  1. Develops and maintains structured tracking spreadsheets and logs to monitor awards, materials, program activity and administrative workflows.

  1. Compiles and reviews quantitative and qualitative data to support routine reporting, data accuracy and continuous improvement of administrative processes.

  1. Maintains organized electronic file systems and shared folders to support documentation standards and operational continuity.

  1. Supports monthly and recurring operational processes to ensure deadlines and divisional deliverables are met.

  1. Assists with Leo club administrative processes and related program support activities as assigned.

  1. Coordinates preparation of material packets and data deliverables for divisional initiatives.

  1. Exercises sound judgment when handling confidential membership information and high-volume transactional workflows.

  1. Other duties as assigned

 We’re Looking for Someone With:

  • High school diploma or equivalent required. Associate or bachelor’s degree preferred.

  • Minimum of three to five years of experience in an administrative or operations support role with increasing responsibility.

  • Strong proficiency in Microsoft Excel, including use of formulas, sorting and filtering data, maintaining tracking sheets and preparing summary reports.

  • Experience maintaining data in CRM systems such as Salesforce preferred.

  • Experience supporting field-based or volunteer-driven organizations preferred.

  • Demonstrated ability to manage multiple recurring workflows with accuracy and attention to detail.

  • Strong written and verbal communication skills.

  • Ability to work independently within established procedures and timelines.

Compensation: Hourly $25 –27/hr.
