The Administrative Assistant will perform a variety of administrative and clerical tasks. The duties of the Administrative Assistant include providing support to supervisors and employees, assisting with daily office needs, and managing the company’s general administrative activities. They will use excellent communication and organizational skills to maintain calendars and schedule meetings. This position will ensure the efficient and smooth day-to-day operations of the office.

  • Perform routine administrative functions including answering the door and taking deliveries.
  • Update, maintain, and monitor calendars and schedule meetings and appointments for the Executive Leadership Team.
  • Maintain office supplies by checking stock to determine inventory level, anticipating needed supplies, and placing and expediting orders for supplies.
  • Prepare and distribute meeting agendas.
  • Coordinate arrangements for meetings and special events, such as coordinating schedules, facilities, and catering.
  • Interface and communicate across various departments, all levels of internal and external constituencies.
  • Compose, edit, and prepare correspondence, reports, memos, and presentations using Microsoft Office software and Google suite. (Word, Excel, PowerPoint).
  • Compile written notes into clear and organized electronic formats.
  • Supports team by performing tasks related to organization and strong communication.
  • Perform other related duties as assigned.

Knowledge/Skills Required:

  • Proficiency in using Google suite, Docs, Sheets, Drive, and Calendar.
  • Excellent organizational skills.
  • Excellent oral and written communication skills.
  • Ability to efficiently operate telephone, e-mail, and related systems.
  • Proven ability to maintain strict confidentiality and handle matters using discretion, diplomacy, and good judgment, recognize and respond to emergent situations as necessary.
  • Ability to edit/proof documents before distribution.
  • Ability to analyze situations, propose solutions to problems as they arise, anticipate needs, and use good judgment.
  • Must be service oriented with a focus on helping others.

Qualifications (Education Requirements/Experience):

  • 2+ years of administrative support preferred.
  • Successful completion of a background check and current and/or ability to obtain the following clearances: Child Abuse, State Police, and FBI Fingerprinting.
  • Demonstrated agreement with the stated mission, philosophy, values, and goals of Portage Learning and Portage Community.

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as

computers, phones, photocopiers, projectors, filing cabinets and fax machines.

Physical Demands:

  • Regularly required to sit; talk and hear, use hands to type, file, handle or feel. The employee is frequently required to reach with hands and arms. Occasionally required to stand; walk and stoop, kneel, crouch or crawl. Visual acuity to use a keyboard, prepare and analyze data and figures; transcribing, viewing a computer terminal; extensive reading.
  • May require ordinary ambulatory skills sufficient to visit other locations; or the ability to stand, walk, lift, carry and move light to medium weight. Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp, and visual acuity to use a keyboard, operate equipment and learn technical information.
  • Light lifting is required. Exerting up to 50 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force to constantly move objects.

Position Types and Expected Hours to work:

This is a Temporary full-time position. Days and hours of work are typically Monday to Friday, 9:00 a.m. to 5:00 p.m. Must be able to work from the office located in Chippewa Township, PA and conduct a minimum of 80% of work hours in the office.

This position is a temporary position beginning June 15th, 2026 through October 16th, 2026.

Travel:

This job requires occasional travel. Travel is primarily local during the business day.
