Job Summary:
Blavity Inc. is seeking to contract a highly organized Programming Coordinator to support speaker-driven programming across AfroTech and other live events. This role serves as the primary intake and documentation owner for all speaker-submitted content and programming materials. The Programming Coordinator ensures that speaker assets, session content, and related materials are received, organized, properly filed, and routed to the appropriate internal stakeholders. This role is critical to maintaining programming clarity and ensuring that content flows efficiently between Programming, Programming Operations, Marketing, Creative, and Production.
Contractors will be responsible for providing their own equipment, including but not limited to laptop computers, cell phones, or any other electronic equipment required to perform their role.
Responsibilities:
- Speaker Content Asset Management (Primary Focus)
- Collect, track, and serve as the primary recipient of speaker-submitted materials (bios, headshots, decks, AV needs, session descriptions, etc.).
- Organize and file all speaker materials in designated shared drives and folders using standardized naming conventions.
- Maintain up-to-date records in Sessionboard and other internal tracking tools, including speaker status, session materials, and contact details.
- Maintain and update talent CRM data, programming schedules, and session details with precision and accuracy within Sessionboard.
- Speaker Content Integrity & Programming Documentation Support
- Own communication of all speaker-driven updates, ensuring changes are clearly relayed to Programming, Operations, Marketing, Creative, and Production and accurately reflected across all materials
- Manage the routing and integrity of speaker materials by confirming team receipt, flagging missing or incorrect assets before handoff, maintaining version control, and organizing a centralized programming content folder for each event.
- Maintain master speaker content logs across events.
- Track programming changes (speaker swaps, title updates, format shifts) and document revisions.
- Support organization of sponsor-provided content and materials before internal build.
- On-Site Programming Support
- Production assistant tasks onsite and talent wrangling
Qualifications:
- 1-3 years of experience supporting event programming, content production, speaker coordination, project management or administrative work
- Able to manage multiple deadlines across simultaneous events.
- Strong follow-through and accountability mindset.
- High attention to detail and strong organizational skills
- Excellent written and verbal communication abilities
- Familiarity with Google Suite, Asana; experience with Sessionboard or CRM tools is a plus
- Experience working on fast-paced creative teams or events is preferred
- Passion for culturally relevant storytelling and digital media is a must
Details:
- This is a fully remote, U.S.- based role. Occasional travel may be required.
- This is a part-time, W2 contracted position through our Employer of Record (EOR)
- Candidates must be authorized to work in the U.S.
- Candidates must be available to work in alignment with the Pacific Time Zone.
- The compensation for this role is $25 per hour and 20 hours per week.
