Description:

Job Summary

The Staffing Manager is responsible for creating and maintaining client and caregiver schedules to ensure all shifts are covered and clients receive consistent, high-quality care. In addition to scheduling, this role is responsible for the performance management of caregivers, including coaching, addressing performance concerns, reinforcing expectations, and supporting caregiver development to ensure quality care and adherence to company standards. The Staffing Manager manages caregiver scheduling, training coordination, and time-off requests while fostering strong engagement and retention. This role partners with HR and branch leadership to ensure compliance, accountability, operational accuracy, and exceptional client service.

Key Responsibilities

  • Create and manage long-term and daily caregiver schedules to ensure full client coverage
  • Strategically schedule caregivers to fill gaps, considering availability, skills, and preferences
  • Ensure only trained and compatible caregivers are assigned to clients
  • Manage caregiver performance, training completion, and coaching needs in partnership with HR
  • Review and approve time-off requests
  • Use reports to identify opportunities to improve scheduling efficiency, satisfaction, and utilization of authorized hours
  • Maintain accurate and up-to-date information in the HRIS and healthcare management system
  • Respond promptly and professionally to client and caregiver inquiries
  • Support caregiver retention and engagement initiatives

  • Maintain regular, reliable and predictable attendance
  • Strong interpersonal skills and ability to work effectively with others
  • Respond promptly and professionally to business needs, client concerns, caregiver issues, and operational disruptions
  • Maintain accurate, timely and compliant records and documents
  • Exercise sound judgment, problem-solving, and decision-making skills
  • Communicate clearly and professionally with caregivers, clients, families, and internal teams
  • Adhere to all company policies, confidentiality rules, safety requirements and regulatory obligations including HIPAA
  • Work effectively in fast-paced, dynamic environment, adjusting to shifting priorities and performing the critical day-to-day duties independently with minimal supervision

Education and Experience

  • At least 2 years of management or supervisory experience with direct reports
  • Experience in home care, healthcare, or a related service-based industry preferred
  • Bachelor’s degree in Healthcare Administration, Business, Human Resources, or a related field preferred
Requirements:

Working Conditions

  • Full-time position, primarily on-site in an office environment
  • May require occasional after-hours communication to ensure shift coverage

Work Location: Caring for Portland

Work Hours: Monday – Friday, 8am – 5pm

Supervisory Responsibilities: Yes

Required Travel: Minimal
