About the Role
The Office Manager is the heartbeat of the Gabb office experience. You’re the person who makes sure everything works — the space feels energized, new employees feel welcomed, and the team has what it needs to do its best work every day.
This role sits within the HR team and is based at our Lehi office. You’re comfortable managing multiple priorities and making decisions independently. You’re equal parts operations, hospitality, and culture — and you take pride in all three.
This is a hands-on, visible role. You’ll interact with every level of the company, from new hires on Day 1 to the executive team, and the care and professionalism you bring to each interaction will shape how people experience Gabb.
Manage day-to-day operations at the Lehi office, ensuring the space is well-maintained, fully stocked, and ready for work
Own the office budget for supplies, snacks, equipment, and facilities needs — forecast spend, track expenses, and manage vendor relationships
Create and maintain processes for equipment ordering, office inventory tracking, food and snack replenishment, and incoming deliveries
Coordinate with building management on facilities issues, maintenance requests, and office access
Manage office security and access administration, including badge provisioning for new hires and deactivation upon departure
Oversee corporate shipping and receiving, including mail distribution and outbound shipments
Manage conference room calendaring and ensure meeting spaces are set up and ready
Own the onboarding coordination experience for all new hires: manage paperwork, liaise with IT for equipment setup, prepare workstations, and ensure Day 1 is smooth and welcoming
Support benefit administration for new employees in coordination with the HR team
Serve as the first face new hires, visitors, customers, and partners see — your warmth and professionalism sets the tone
Maintain accurate employee records and office-related data in Paycor
Support offboarding logistics including equipment recovery and access removal
Be an active contributor to Gabb’s in-office culture: help plan and execute monthly all-hands, team celebrations, seasonal events, and culture-building initiatives
Identify opportunities to make the office environment more energizing, inclusive, and reflective of the Gabb brand and values
Serve as a go-to resource for employees for day-to-day workplace needs
Coordinate travel arrangements for the executive team and visitors, including flights, accommodations, and ground transportation
Support the executive team with administrative tasks and special projects as assigned — with discretion and a high degree of professionalism
Assist with scheduling, logistics, and preparation for leadership meetings and off-sites
3+ years of experience in an office management, operations coordinator, or executive assistant role, ideally in a fast-growing company
Demonstrated ability to manage office budgets, vendor relationships, and procurement — you can forecast needs and track spend with accuracy
Experience supporting employee onboarding and working alongside an HR team
Strong working knowledge of Google Workspace (Docs, Sheets, Calendar, Drive) and Microsoft Office; familiarity with Paycor or similar HRIS is a plus
Experience coordinating travel logistics for executives or visitors
Prior event planning or coordination experience, even in a supporting capacity
Proactively organized — you build systems and processes before problems arise, not after
