Director, Management Operations

American Pool specializes in commercial pool management, staffing, maintenance, and repair & renovation, with a focus on safety across the East Coast and select Southwest markets.

We are looking for a Director of Management Operations to join our team and serve as a key leader in our regional operations. This role combines safety leadership, customer service excellence, and client relationship management with oversight of pool management operations across our portfolio of approximately 35-40 commercial and community pools. The ideal candidate brings a strong aquatics safety background and exceptional customer service skills. While pool maintenance technical knowledge is valuable, candidates with safety and customer-facing experience can develop operational expertise on the job. This position is critical to client retention, service quality, and maintaining American Pools reputation for excellence in the Pennsylvania market.

ESSENTIAL RESPONSIBILITIES

  • Staff Selection, Training & Development: Identify, train, mentor, and support on-site staff to ensure adherence to American Pools policies, procedures, and standards, with a strong focus on safety and maintenance.

  • Operational Oversight: Conduct regular inspections of all managed locations (weekly) to ensure that pool services, including filtration, circulation, heating systems, and chemical balancing, meet safety and operational standards.

  • Pool Service Management: Ensure pools are properly maintained through regular cleaning, chemical treatment, equipment checks, and repair as needed. Maintain high levels of customer satisfaction through efficient service and resolution of issues

  • Preseason Pool Preparation Responsibilities: Coordinate pool setup, including filling, filter start-up, and water balancing. Oversee pool opening tasks like draining, cleaning, and chlorination. Manage delivery and installation of pool parts and equipment. Ensure cleanliness and maintenance of the pool and facility. Maintain filter systems and oversee pool furniture preparation. Install and maintain pool anchors and ensure proper signage. Coordinate electrical permits, including filing, payment of fees, and scheduling inspections.

  • Seasonal Responsibilities: Oversee overall supervision of pools, facilities, and supervisors. Resolve disputes involving staff, patrons, clients or other parties. Collaborate with site managers to address issues promptly. Serve as a liaison with board members and attend meetings regarding contracts, problems, and more. Prepare bids for potential work (e.g., hazardous situations, preventative maintenance). Perform routine maintenance and minor repairs on filter systems.

  • Post-Season & Off-Season Responsibilities: Follow up on retention bids and construction work. Coordinate and supervise all aspects of pool closings, including draining, blowing out lines, and storing equipment and furniture. Oversee construction and renovation projects. Conduct end-of-season meetings with site managers, boards, and committees. Manage the continued operation of indoor pool facilities and the late closing of outdoor pools. Focus on expansion and new/retention sales. Coordinate construction and parts procurement. Ensure continued operation of indoor pool facilities. Prepare for the upcoming season by updating procedures, SOPs, and training materials. Handle miscellaneous field tasks such as maintenance and repairs. Manage the hiring and training of crew leaders and supervisors for the next season.

  • Chemical Knowledge & Application: Possess a deep understanding of pool chemicals, including balancing chlorine, pH, alkalinity, calcium hardness, and other chemicals to ensure safe, clean, and clear pool water. Train and guide applicable staff in proper chemical handling and emergency response.

  • Operational Oversight: Regularly inspect all managed locations (weekly), ensuring compliance with safety standards, risk management, and customer service protocols.

  • Strategic Planning: Anticipate client needs, seasonal changes, and staffing requirements to adjust operations accordingly. [EXPANDED: Focus on client retention through proactive relationship building. Support retention efforts by maintaining regular contact with accounts and identifying at-risk relationships early. Serve as primary liaison for client communications.]

  • Client Relationship Management: Maintain strong relationships with key stakeholders and attend meetings, ensuring seamless communication and high client satisfaction.

  • Operational Improvements: Recommend and implement improvements to enhance operational efficiency and quality.

  • Talent Management: Manage talent and performance of aquatics personnel, ensuring accountability and follow-up on responsibilities and goals. [EXPANDED: This role works closely with the dedicated Safety Lead for the PA branch. Safety is the primary focus conduct safety audits, train staff in chemical handling and emergency response, respond to safety incidents with proper documentation.]

  • Safety & Compliance: Cultivate a safety-first culture across all operations and ensure adherence to all safety guidelines and practices.

  • P&L Management: Oversee full Profit & Loss responsibility for the assigned locations, ensuring financial goals are met.

  • Performance Reporting: Provide regular performance updates and reports to operational leadership and clients.

  • Operational Excellence: Ensure consistent adherence to American Pools operational procedures and best practices across all locations.


SKILLS & QUALIFICATIONS

  • Industry Experience (Required): Experience in the aquatics industry (pool management, lifeguard services, pool construction, maintenance, repair) or related industry

  • Business Acumen: Strong business acumen including the ability to oversee multiple locations.

  • Knowledge of Pool Systems (Preferred): Familiarity with pool filtration, circulation, and chemical balancing training provided for candidates with strong safety/customer service backgrounds.

  • Technical Skills (Preferred): Pool equipment troubleshooting and maintenance skills are a plus but can be developed on the job.

  • Customer Service Skills (Required): Excellent verbal and written communication abilities; comfortable presenting to HOA boards, property management companies, and other stakeholders. Professional, customer-focused attitude with proven relationship management experience.

  • Management Experience: strong leadership abilities and experience supervising and leading teams preferred.

  • Attention to Detail: Ability to inspect pools thoroughly, identify issues, and maintain accurate records.

  • Problem-Solving Skills: Ability to diagnose problems with pool systems and equipment and determine appropriate solutions.

  • Valid Drivers License (Required): A valid drivers license with a good driving record is required. This role will be responsible for traveling between various job sites and will be using a company vehicle.

PHYSICAL REQUIREMENTS

  • Sitting, standing, and walking for long durations.

  • Lifting, pushing, pulling, and carrying heavy equipment (e.g., pool vacuums, filters) up to 85+ lbs.

  • Ability to work in water and perform physical labor.

  • Typically works outdoors for prolonged periods of time, often at commercial properties (hotels, gyms, resorts).

  • The role requires working in various weather conditions, including heat, rain, or cold temperatures.

  • Occasional travel may be needed for client meetings or other business related meetings.

  • Travel to different job sites using a company vehicle or personal transportation.


LOCATION

The Director of Management Operations position is a full-time, in-person role based out of American Pool Pennsylvanias office in Bensalem, Pennsylvania. Regional travel to client locations is required.

SCHEDULE REQUIREMENTS

To support the business this role will have a varying schedule to accommodate the seasonal fluctuations. This role will work a schedule of 50 hrs per week with an increase in hours during the peak seasons to accomplish the needs of the business. From September to March the schedule will be Monday through Friday. April to September (ending after Labor Day) includes the peak pre-season and summer season which is when the business is the busiest. The schedule during these months will be six days a week with the expectation to work weekends.

COMPENSATION

The Director of Management Operations role with American Pool Pennsylvania offers a base salary of $70,000 to $80,000 per year, consummate with experience.
