Position Details

Job Description:

This description provides an overview of the essential responsibilities, qualifications, and expectations for the Guest Services position. This role is “at-will,” meaning that either the employee or the Ken-Caryl Ranch Metropolitan District (“District”) can end the employment relationship at any time and for any reason, as allowed by federal or state law.

Job Summary: Guest Services staff are responsible for front desk reception and administrative duties at the Community Center. This role ensures a positive experience for customers by monitoring activities and providing quality assistance.

Essential Functions: The following duties outline the primary responsibilities of Guest Services staff and should not be considered an all-inclusive list.

· Facility Opening/Closing and Maintenance: Open the building and conduct routine checks to confirm all areas are functioning properly; Maintain cleanliness as required by health guideline and closing the building at the end of the day.

· Customer Assistance: Greet and assist patrons who walk-in or call on the phone; answer questions, take registrations, sell passes, or provide general customer service; resolve issues or direct to another staff member.

· Software Management: Utilize software system for all registrations, payments, memberships, and rentals.

· Administrative Support: Assist with other Ken-Caryl Ranch Metropolitan District or Master Association special projects as needed (copying, scanning, cleaning, data entry, etc.).

· Training and Meetings: Attend required meetings, training sessions, or conferences as directed.

· Customer Service and Professionalism: Consistently promotes a positive, professional image of the district and always provides excellent customer service, while demonstrating the district’s core values of respect, accountability, integrity, continuous improvement, engagement, and relationship building.

Requirements:

Schedule Requirements:

· Availability for afternoons, evenings, weekends, and occasional early mornings.

a. Weekday shifts: approximately 1:30 p.m. – 7:30 p.m. OR 5:45 a.m. - 1:30 p.m.

b. Weekend shifts: typically 8:00 a.m. – 4:00 p.m.

· 15-20 hours per week, with opportunities for additional hours providing front desk coverage at the Community Center or other facilities during facilities rentals.

Compensation for this position is based on experience and availability.

Required Experience:

· Education: High School Diploma or GED required.

· Experience: A minimum of one years’ experience in front desk, reception, customer service, or a or a combination of education and/or experience that has provided the knowledge and abilities necessary for excellent job performance.

Knowledge, Skills, and Abilities:

1. Ability to provide customer service in difficult situations, especially those situations where the customer needs to be informed of inappropriate activity or damage to facilities.

2. Possess strong organizational and communication skills.

3. Ability to work a flexible schedule that includes early mornings, midday, evenings, and weekend shifts.

4. Ability to read, write, speak, and understand the English language at a level adequate to perform the job.

5. Ability to use Microsoft Office and learn basic functionality of facility Recreation Management software program.

6. Possess, or ability to obtain, valid First Aid and CPR certifications.

Work and Physical Requirements:

This position is primarily based indoors, with some work at locations such as the Ranch House and Dakota Lodge. The role involves moderate physical activity, including lifting items up to 50 pounds occasionally and up to 20 pounds frequently, as well as standing, walking, bending, and repetitive motions. Work may be conducted in various weather conditions. Consistent, positive interaction with District employees, other organizations, and the public is essential.
