About This Position
Summary
The PMO Specialist is responsible for the assessment and implementation of PMO processes and systems, identifying opportunities for improvement, and devising efficient processes and cost-effective alternatives. They analyze the interdepartmental workflows to align all Iconic regions and all Functional Groups and identify opportunities for process optimization, innovation, and efficiency gains to enhance project delivery capabilities.
Qualifications
- Minimum Bachelor’s degree ideally in a relevant field (business, project management, construction management, engineering).
- PMP designation is an asset for this role.
- 10+ years in Construction Delivery, Project Management and EPC environments (Understanding of ISO 9001 QMS Certification an asset).
- Significant operations management experience.
Experience building and adapting defined systems, processes, and procedures with an eye on growth.

- Ability to quantitively and qualitatively analyze and design solutions to operational challenges.
- Detail-oriented and demonstrated competency in project management, analysis, strategy, business planning, process involvement and problem solving.
- Ability to manage around tight deadlines and still get the details righ
- Proficient communication and the ability to work with multiple parties on the project.
- Knowledge of standardized practices, providing governance, systems, and tools that the organization will use in delivering projects successfully.
- Advanced proficiency in Microsoft Office.
Duties
- Help establish governance framework with a structured approach to program and project delivery through a Quality Management System (QMS).
- Provide support in attaining ISO 9001 QMS Certification as required.
- Aid in setting the direction for project management practices and other functional groups ensuring they support the company's near-term and long-term goals.
- Establish and maintain policies, processes, methodologies, and standards in the PMO to ensure consistency and compliance across all functional groups. This includes defining frameworks, templates, tools, and systems to be used organization wide.
- Engage with key partners, including executive leadership to ensure alignment between organizational goals and initiatives.
- Communicate regularly with partners to provide updates, address concerns, and solicit feedback.
- Coach functional delivery groups on developing standards and practices for their QMS scopes
- Ensure training is implemented and tracked for all office employees related to QMS.
- Issue and resolve PMO NCRs to standards and practices and mitigate through continuous improvement.
- Organize lessons learned meeting with Project Team as required.
- Work closely with Quality Manager and IT Business Partner to ensure alignment on current and future initiatives at a corporate level.
- Create an annual audit plan to ensure PMO process and procedures have been effectively implemented.
