Job Description

Office Manager

The Office Manager oversees daily administrative and office operations. This role supports management and field operations by managing personnel and finances, coordinating scheduling and customer service activities, and serving as a central point of communication among technicians, management, vendors, and clients.

Responsibilities:

    Manage daily office operations to ensure efficiency and organizationMaintain office policies, procedures, and filing systems (digital and physical)Oversee office supplies, equipment, and vendor relationshipsSupport management with reports, correspondence, and documentationCoordinate scheduling for fire alarm, sprinkler, security, and inspection servicesCommunicate job details, changes, and priorities with technicians and supervisorsTrack work orders, service tickets, and job completion documentationMaintain inspection reports, service records, permits, and compliance documentsEnsure licenses, certifications, and training records are current for techniciansServe as the primary point of contact for incoming calls and client inquiriesAddress customer concerns professionally and escalate when necessaryAssist with invoicing, job costing, and purchase order trackingTrack service agreements and support collections as neededCoordinate with accounting on payroll submissions, technician hours, and expensesAssist with onboarding, orientation, and employee documentationMaintain personnel files and support training coordinationTrack time-off requests, attendance, and employee communicationsSupport a culture of safety by promoting safe work practices and addressing safety concerns professionally

Education and Experience:

High school diploma or equivalent required; associate’s degree preferred2+ years of office management or administrative experienceExperience in the fire alarm, security, construction, or life safety industry strongly preferred

Skills & Competencies

Strong organizational and time management skillsExcellent written and verbal communicationProficiency in Microsoft Office (Word, Excel, Outlook) and scheduling softwareAbility to multitask and prioritize in a deadline-driven environmentBasic understanding of job costing, invoicing, and service coordinationAttention to detail and high level of confidentiality

Work Environment and Physical Requirements

Ability to sit, stand, and work at a computer for extended periodsAbility to lift up to 25 lbs. occasionallyOccasional interaction with field staff and job-site documentation
