We have an exciting opportunity for a full-time (35 + hours per week) Transportation Coordinator. This is a salaried position budgeted to start between $45,500 - $49,140 with a Monday - Friday schedule. Times vary, based on programs' needs, but the required availability is from 5:00 a.m. to 5:00 p.m.
The Transportation Coordinator will coordinate all transportation arrangements for the Agency’s operation Adult Day Health Programs, Kids Academy, and After School Day Care. The transportation coordinator will supervise drivers and coordinate all maintenance for agency vehicles. They will schedule and secure all safety, repair and maintenance issues with all agency transport vehicles. They will work collaboratively with programs to ensure efficient transportation services during program operation. The Transportation Coordinator will assist in program operations as available and needed.
Responsibilities include:
- Supervision of Transportation staff, including conducting yearly performance reviews. Aid in the recruitment, interviewing, and hiring of new drivers.
- Coordinate schedules/ routes for ADH/ Kids Academy/ ASDC programs, assigning vans and drivers.
- Meet monthly with all van drivers to coordinate routes, procedures, ensure adherence to vehicle maintenance schedules, and provide required training.
- Schedule and maintain logs on all agency owned vehicles with routine oil changes and checkups.
- The Transportation coordinator will work congruently with Senior Leadership to determine driving feasibility for all agency owned vehicles in the event of inclement weather or crisis to establish a plan and then relay the plan to Program Leaders/ Coordinators.
- Maintain CPR and First Aide Certificate.
- Ensure weekly transportation logs are submitted and completed accurately.
- Communicate effectively with Kids Academy/ASDC Director and ADH Coordinators and generate reports as needed.
- Report any problems or concerns to their direct supervisor as issues/ situations warrant.
- Provide direct transportation to clients if needed, adhering to all requirements of ADH van driver/7D Driver job descriptions.
- Order department supplies and ensure adequate inventory.
- Respond to reasonable expectations of Agency and/or supervisor
- Review routes and disperse weekly to drivers ensuring accuracy.
- Add/ Remove clients from routes depending on status.
- Periodically check in with Kids Academy/ ASDC/ ADH Coordinators regarding client’s utilization of transportation
- Serve as a liaison between external transportation vendors and ASDC staff.
- Input monthly, and annual, DOT reporting through Black Cat portal.
- Resolve client/ caregiver issues within a timely manner.
- Recommend clients to be evaluated to ensure the safest form of transportation is being provided
- Seek out additional grant/ funding opportunities related to the department/ programs serviced.
- Complete monthly Facility Reviews and Vehicle Inspections and provide the findings to CQI.
- Provide ADH Programs with Transportation Lists to ensure smooth loading and unloading of clients.
- Ensure all client information within emergency binders are accurate and up to date.
- Keep record of and submit fuel receipts to accounting.
- Annually review department policies and procedures annually to ensure relevancy.
Education and Experience:
- The Transportation Coordinator requires a High School Diploma or Equivalency.
- Experience with schedule coordination and supervision of staff required.
- Experience with either elders or the disabled (ADH) or children (ASDC) preferred.
- Must possess an ability to work with others as part of a team and communicate effectively.
- Experience driving commercial vehicles preferred. Experience with vehicle maintenance preferred.
- Prior experience with EEC rules and regulations preferred.
- Must complete and maintain CPR and First Aid certification.
**The Transportation Coordinator will apply for a 7D Massachusetts Operators Driver’s License within 30 days of hire and maintain a valid MA Class D Operators License with good driving record.
**Must be able to successfully pass a random drug and alcohol test in addition to being enrolled in a drug consortium for random testing.
**Must have current physical and be able to pass EEC background record check, CORI, & CPS.
