About This Position
Responsible for coordination of We Help Services operations and programs. Ensures staff, volunteers, and client needs are met. Guarantee policies and procedures of pantry are followed. Ensure positive interactions between program staff and volunteers, donors, clients, and partners. Responsible for record keeping of all program activities. Work with and support pantry and warehouse personnel to ensure program efficiency and functionality. Reports to the Program Manager.

Schedule
40 Hours Per Week
Monday-Wednesday 8:00am-4:30pm Thursday 8:00am-7:30pm Friday 9:00am-1:00pm (schedule may vary depending on program needs)
Position Responsibilities
- Train all volunteers on specific responsibilities of their assigned station in both front of house and back of house.
- Coordinate daily communications (both written and verbal)?for We Help volunteers.?
- Provide direction and support to We Help volunteers in their tasks within the Client Choice Pantry.?Ensure volunteers and clients follow pantry?guidelines.???
- Assist with the scheduling of volunteers to support program needs.
- In partnership with Volunteer Services, administer volunteer surveys and act on results.?
- Work with the We Help Leadership team and Volunteer Services team to recruit new volunteers, provide volunteer onboard training.
- Assist We Help staff by ensuring adequate coverage for program needs; provide client services and assist in pantry as needed.
- Respond to diverse client behaviors with compassion and professionalism, utilizing trauma-informed practices and de-escalation techniques.
- Proactively assess the broader volunteer or client experience, anticipate potential future needs or concerns, and provide solutions that reflect deliberate and informed decision-making.
- Facilitate client intake and program flow, minimizing client wait times.
- Utilize Oasis, or other client database systems, to track and maintain all services provided.
- Work with the Food Access Leadership team to oversee volunteers, logistics, systems and processes related to the successful day-to-day execution of We Help Services.
- Responsible for supporting the We Help Pantry by managing and restocking food, hygiene supplies, and intake documentation as needed.
- Maintain a safe, clean, attractive environment for staff, volunteers, and clients.?
- Keep shelving, carts, freezers, and other displays clean, organized, and visually appealing.?
- Assist with warehouse functionality and duties as needed.?
- Ensure that all food and non-food items are handled, stored, and distributed in a safe and sanitary manner. Follow and maintain all health and sanitation codes.
- Attend Annual Training, Coordinate and Implement Required Staff and Volunteer Training.
- Coordination of USDA program: Reporting, Compliance, Collection of Client Data, and Record Keeping,
- Ensure compliance with DOH regulations: Maintain all required records, policies, and logs, coordinate all required staff and volunteer training. Facilitate inspections.
- Ensure complete and accurate reporting and documentation of all We Help program developments and outcomes for various programmatic and institutional purposes.
- Attend and participate in agency events.
- Maintain and oversee vendor/program relationships; coordinate onsite presence of agencies.?
- Perform other duties assigned.

Education & Experience:
- Must possess a bachelor's degree, 2-3 years of relevant work experience, or equivalent combination of education and work experience.
- Demonstrated ability to effectively collaborate and communicate with volunteers.
- Prior experience in the social service field, working with clients in need, is strongly preferred.
- Knowledge of methods, techniques, and equipment used in warehouse operations is preferred.
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift up to 30 pounds at times
