JOB SUMMARY

The Inventory Purchasing Associate will work closely with the Senior Accountant and CFO to coordinate the timely procurement of materials and manage vendor relationships. This role is essential to ensuring smooth inventory flow and supporting operational efficiency across the organization. The ideal candidate will have experience with purchasing procedures, inventory management, and vendor coordination, along with the ability to handle multiple priorities in a fast-paced, regulated environment.

Requirements:

DUTIES AND RESPONSABILITIES

  • Procure raw materials, packaging, and pharmacy supplies in alignment with production forecasts and current inventory levels.
  • Issue and manage purchase orders; monitor and follow up on delivery schedules to ensure timely fulfillment.
  • Verify vendor invoices and reconcile them against purchase orders and receiving documentation.
  • Maintain accurate and up-to-date vendor, pricing, and product information in purchasing and inventory systems.
  • Develop and maintain strong relationships with suppliers to secure favorable pricing, lead times, and service levels.
  • Identify and resolve discrepancies related to orders, deliveries, or invoices in a timely and efficient manner.
  • Collaborate with accounting and operations teams to ensure purchasing activities align with inventory and budget requirements.
  • Assist with inventory control and tracking to support operational efficiency and minimize supply disruptions.
  • Maintain organized purchasing records and documentation for audit and reporting purposes.

SKILLS & ABILITIES

  • Strong understanding of purchasing procedures and inventory control.
  • Proficiency in purchasing or ERP systems (e.g., NetSuite, SAP, QuickBooks, or similar).
  • Intermediate to advanced Excel skills (e.g., pivot tables, VLOOKUPs).
  • Strong organizational and time-management abilities.
  • Exceptional attention to detail and accuracy.
  • Effective written and verbal communication skills.
  • Ability to work both independently and collaboratively with cross-functional teams.
  • Familiarity with vendor negotiation, supply chain logistics, and lead time management.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

EDUCATION & EXPERIENCE

  • Bachelor’s degree in Supply Chain Management, Business Administration, Logistics, or a related field (Associate degree with relevant experience may be considered).
  • 2–4 years of experience in inventory purchasing, procurement, or supply chain operations.
  • Experience working in a regulated industry such as healthcare, pharmaceuticals, or manufacturing preferred.
  • Familiarity with purchasing systems or ERP software (e.g., NetSuite, SAP, QuickBooks).
  • Demonstrated ability to manage vendor relationships and procurement processes.
  • Strong track record of maintaining accurate inventory and ensuring timely material availability.
  • Experience analyzing inventory data to support purchasing decisions is a plus.
