This position with the Duininck Concrete offers the opportunity to serve as a key liaison between internal customers, technicians, and vendors, ensuring fleet and heavy equipment repairs are scheduled, communicated, and completed efficiently. This role is also responsible for sourcing, stocking and distributing parts and supplies for all heavy equipment and vehicles as well as shop needs. This person will be responsible for keeping an adequate inventory in the store room, purchasing replacement parts to support the field and shop personnel, performing cycle counts on current inventory, assist in the development of a Purchase Order system, analyzing data on past purchases and adjusting inventory as needed.
The Role:
- Manage the Preventative Maintenance Program, including receiving repair requests, scheduling work, preparing cost estimates, and communicating updates.
- Enter repair details into the maintenance management system (CMMS); log parts, attach work orders and vendor quotes, and track repair status.
- Assign technicians to work orders, monitor timelines, and ensure job instructions include safety requirements, PPE, and necessary tools.
- Confirm repair completion and verify that documentation and service records are accurate and complete.
- Coordinate third-party vendor repairs, secure estimates, and monitor vendor performance.
- Source and order parts, hardware items, and other materials required for servicing, repairing, and maintaining equipment and vehicles
- Ensure receipt, accurate charges, and delivery of requested items; inputs, updates, maintains records accordingly
- Monitor shop inventory and reorder as necessary, suggest changes in inventory items/stock levels as needs change
- Establish and maintain relationships with outside vendors and company personnel at all levels
- Arrange distribution of parts, parts kits and supplies to mechanics, job sites etc.
- Collaborate with operations leadership and the equipment division to plan and adjust work orders based on schedules and priorities.
- Build and maintain professional working relationships with internal customers, vendors, and suppliers.
Work Environment:
- Work in an office and shop environment around construction equipment and mechanics.
- Stand, sit, and move between work sites as needed.
- Lift and carry items up to 30 lbs.
- Use computers and office equipment regularly.
What we Look For:
- Experience in construction, fleet maintenance, or heavy equipment industry (preferred).
- Proficiency with CMMS or scheduling software systems (ideal).
- Strong organizational skills with the ability to manage multiple work orders and priorities at once.
- Excellent written and verbal communication skills; able to work collaboratively across departments.
- Proficiency with Microsoft Office (Excel, Word, Outlook).
- Self-starter with strong attention to detail and follow-through.
- Team-focused mindset and ability to work with technicians, leaders, and vendors.
