Job Summary:
The Accounts Payable and Financial Aid Advisor is a dual-function role responsible for primarily supporting students through the financial aid process (80%) while also assisting with accounts payable operations (20%). This position ensures compliance with federal, state, and institutional regulations for financial aid and veterans’ benefits, while maintaining accurate and timely processing of vendor invoices and payments. The role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
Financial Aid (80%)- Provide individualized counseling to students and families regarding financial aid options, eligibility, and application procedures.
- Assist students with completing FAFSA and other required documentation.
- Review and process financial aid applications; determine eligibility for federal, state, and institutional programs.
- Certify VA educational benefits and maintain compliance with VA regulations.
- Conduct financial literacy workshops and provide resources on budgeting and responsible borrowing.
- Maintain accurate student financial aid records and ensure compliance with all regulations.
- Collaborate with admissions, registrar, and other departments to support student enrollment and aid processes.
- Stay current on financial aid regulations and participate in professional development activities.
- Collect, verify, and process invoices for timely payment in accordance with approval policies.
- Coordinate and monitor the invoice approval process across departments.
- Process vendor payments and resolve payment issues promptly.
- Maintain accurate records and workpapers for accounts payable transactions.
- Provide administrative support for finance-related inquiries and vendor communications.
Qualifications:
- Education: Bachelor’s degree in finance, business administration, accounting, or related field required.
- Experience: Minimum 1 year in financial aid counseling or student financial services; Minimum 1 year in accounts payable or financial operations preferred.
- Skills: Strong interpersonal and communication skills; proficiency in financial aid systems and CRM; experience with QuickBooks Online or Dynamics Business Central preferred; advanced Microsoft Excel skills; ability to manage multiple priorities and maintain confidentiality; detail-oriented and highly organized.
