About the Role:
The Administrative Assistant plays a crucial role in ensuring the smooth and efficient operation of our manufacturing office environment. This position is responsible for managing a variety of administrative tasks that support daily business functions and enhance overall organizational productivity. The successful candidate will coordinate schedules, handle communications, and maintain accurate records to facilitate seamless workflow. By managing calendars, arranging travel, and overseeing general office duties, the Administrative Assistant enables team members and leadership to focus on core manufacturing activities. Ultimately, this role contributes significantly to maintaining an organized, professional, and responsive office atmosphere that supports the company’s operational goals.
Minimum Qualifications:
- Strong math skills and advanced Excel (required)
- Clear, professional verbal and written communication
- Highly organized with excellent memory and attention to detail
- Comfortable managing multiple tasks independently
- Proficient in Microsoft Word and standard office tools
- Outlook Scheduling
Preferred Qualifications:
- Spoken/written Spanish is a big plus
- Spoken or Written Mandarin is also a big plus
- Prior admin, operations, or data analysis internship experience helpful but not required
- Recent college graduates encouraged to apply
Responsibilities:
- Manage scheduling, calendars, meetings, and reminders
- Build and maintain Excel spreadsheets (tracking, formulas, reconciliations)
- Perform math checks, comparisons, and data validation
- Track expenses, receipts, invoices, and payments
- Book and manage travel and itineraries
- Draft clear, professional emails and documents
Skills:
The required skills such as general administrative capabilities and calendar management are essential for organizing daily schedules and ensuring timely communication across departments. Maintaining calendars and managing travel arrangements require attention to detail and proactive planning to support leadership and staff effectively. General clerical skills, including records management and handling multi-line phone systems, are used daily to maintain an orderly office environment and facilitate smooth information flow. Preferred skills like proficiency in Microsoft Office and familiarity with manufacturing processes enhance the ability to create accurate reports and understand the context of the work environment.
