The company Paralegal supports the company’s legal, licensing, and compliance-related administrative functions across a multi-location dealership group. This role is responsible for coordinating annual licensing renewals, maintaining legal matter tracking, gathering records and documentation, supporting litigation and claims administration, and serving as an internal point of contact for legal-related information requests. This position plays a key role in keeping the organization organized, responsive, and compliant, but does not make legal determinations or provide legal advice. Legal strategy, legal conclusions, and final decisions on legal matters are handled by company leadership and/or outside counsel.

Key Responsibilities
- Coordinate and maintain licensing for all company locations, including tracking deadlines, preparing renewal materials, submitting renewals, and following up to ensure timely completion
- Maintain an organized master calendar of licensing, registration, renewal, and other compliance-related deadlines
- Process licensing-related payments, fees, and filings in accordance with company procedures
- Track and maintain a centralized log of all legal matters, claims, disputes, and litigation matters involving the company
- Assist with the collection, organization, and transmission of documents, records, and other information requested by outside counsel, insurers, agencies, or internal leadership
- Coordinate legal hold, document retention, and email/data collection efforts as directed by leadership or counsel
- Access, search, and retrieve company emails and records for legal, compliance, and claims-related purposes, consistent with company policy and direction from leadership
- Communicate with internal teammates to obtain records, statements, supporting documentation, and follow-up information related to legal or compliance matters
- Serve as a liaison between the company and outside counsel on administrative and document-related matters
- Maintain legal files, matter files, licensing records, and related documentation in an organized and confidential manner
- Assist in preparing summaries, timelines, and status updates for leadership regarding open legal and licensing matters
- Monitor and escalate missed deadlines, missing information, or compliance concerns to leadership in a timely manner
- Support special projects related to legal administration, corporate compliance, licensing, and risk management as assigned
Required Knowledge, Skills, and Abilities
- Strong organizational and administrative skills with close attention to detail
- Ability to manage multiple deadlines across many locations and matters at once
- Strong follow-through and persistence in obtaining needed information from internal teams
- Ability to handle sensitive and confidential information with discretion
- Strong written and verbal communication skills
- Proficiency in Microsoft Office, especially Outlook, Excel, and Word
- Ability to maintain accurate logs, calendars, and files
- Ability to work independently on routine processes while knowing when to escalate issues
- Ability to interact professionally with attorneys, executives, regulators, and teammates
Education and Experience
- Associate’s degree, paralegal certificate, or equivalent work experience preferred
- Experience in legal administration, licensing, compliance coordination, paralegal support, claims administration, or similar administrative role preferred
- Multi-location or multi-state administrative/compliance experience preferred
- Experience working with outside counsel, insurance carriers, or regulatory agencies is a plus
Work Environment / Physical Requirements
- Primarily office-based work
- Frequent computer, phone, and email use
- May require sitting for extended periods and occasional lifting of files or records
