Position Summary:

The Administrative Assistant provides administrative and secretarial support for the Director/Executive Director and the department. In addition to typing, filing and scheduling, this position is responsible for performing duties such as coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, greeting visitors, staff and physicians and working on special projects. The Administrative Assistant also answers correspondence and assembles highly confidential and sensitive information. This position will provide front line customer service to employees, patients, volunteers and visitors.

Position Requirements:

  • Licensure/Certification/Registrations: None
  • Education: High School diploma or equivalent required. An Associates degree is strongly preferred.
  • Experience: 1–3 years of experience as an administrative assistant required 5–7 years of experience preferred.
  • Skills & Abilities: Excellent organizational skills. Outstanding written and oral communication skills. The ability to work independently but also collaboratively as a member of a team. Ability to organize, prioritize and meet deadlines, while effectively managing multiple projects simultaneously. Ability to successfully handle multiple priorities, prioritize appropriately and manage frequent interruptions. Good problem-solving skills, detail oriented and excellent follow-through. Ability to relate to people of all ages and diverse backgrounds, skills and abilities. Ability to present self in a personable and professional manner. Must be able to successfully and effectively communicate with a variety of personnel. Ability to deal with diverse and confidential information with discretion and good judgment. Must have strong computer skills and be proficient in all Microsoft Office products.

Essential Functions:

  • Provide secretarial and administrative support to the Director and the department while maintaining a high degree of professionalism and confidentiality.
  • Schedule appointments, manage the calendar, and handle all travel arrangements as requested
  • Interact daily with staff, patients, families, volunteers, donors, other organizations, and the public and serve as a resource and referral source.
  • Coordinate internal and external meetings/teleconferences/events, including scheduling, logistics/arrangements for meetings, gathering/distributing meeting materials, hotel contract/invoices/payments, minutes, evaluations, addressing attendee requests, etc.
  • Assist with agenda preparation, meeting follow-up, preparing materials for all meetings, making arrangements for audiovisual needs and taking minutes at meetings.
  • Receive/screen/make telephone calls, maintain high levels of customer service and professionalism and record messages for the department appropriately.
  • Perform high-level administrative support duties including preparation of presentations, communications, documents and spreadsheets; complete diverse and complex assignments with limited direction; plan and implement projects within the department.
  • Perform general office duties such as typing, flow of correspondence, requisition of supplies, maintaining office equipment and environment, faxing, maintaining training and competency packets, ensuring the availability of appropriate forms/paperwork, processing all mail, etc.
  • Assist in resolving administrative issues by preparing reports, analyzing data, and identifying solutions.
  • Assist with typing, designing and preparing information such as general correspondence, memos, charts, tables, graphs, grant applications, publications, presentations, business plans, etc. Proofread copy for spelling, grammar and layout, making appropriate changes.

Per-Diem Positions:

Employees who are not benefit eligible due to working less than 24 hours/ week or being Per-Diem are able to participate in Craig Hospital’s 403B Retirement plan through Empower Retirement. Additionally, you would be able to take advantage of the programs offered through the Employee Assistance Programs.

Salary Range: $19.58/ Hour — $28.20/ Hour + 12% Per-Diem Differential
