The Administrative Assistant performs the day-to-day clerical functions needed to support the clinical operations of the department.
This includes, but not limited to, heavy telephone intake, patient registration, booking appointments, obtaining client data, typing
correspondence, managing phone & foot traffic, scanning documents into EHR. This position participates fully in shared office tasks,
including but not limited to: receiving visitors, scheduling appointments, reception duties and filing. Provides back-up coverage for other support staff and assists with coverage for other sites as needed. Communicates to all new clients: clinic processes,
expectations, & responsibilities. Provides estimates for services when appropriate. Receives and processes patient financial liability
payments for current and past balances. Special projects as assigned. Attends all staff meetings & trainings.
I. Major Responsibilities:
1. Serves as unit receptionist, directs patients, visitors and others. This includes, but not limited to, heavy telephone intake, patient registration, booking appointments, obtaining client data, typing
correspondence, managing phone & foot traffic, scanning documents into EHR.
2. This position participates fully in shared office tasks, including but not limited to: receiving visitors, scheduling appointments, reception duties and filing.
3. Provides back-up coverage for other support staff and assists with coverage for other sites as needed.
4. Communicates to all new clients: clinic processes, expectations, & responsibilities.
5. Provides estimates for services when appropriate.
6. Receives and processes patient financial liability payments for current and past balances.
7. Special projects as assigned.
8. Attends all staff meetings & trainings.
II. Position Qualifications:
License/Certification/Education:
Required:
1. Equivalent to high school diploma
Preferred:
1. One-year advanced education and training in the business/secretarial/medical field or equivalent experience a plus.
Experience/Skills:
Required:
1. Ability to handle multiple priorities and effective communication.
2. Must be able to multitask and maintain a calm demeanor.
3.Must possess a sound knowledge of business systems and office procedures.
Preferred:
1.Bi-lingual in English and Spanish is a plus.
2. At least 2 years of office experience, medical office experience preferred. Included in such experience must be typing 40 wpm and
handling high volume telephones.
