Glenmark Construction Co., Inc. is seeking a highly organized and bilingual Office Administrator / Administrative Coordinator to support daily business operations at our Indianapolis office. This full-time role is essential to keeping our workforce, compliance, and financial processes running smoothly.
You will serve as a central communication hub between management, field employees, and subcontractorsensuring accurate documentation, regulatory compliance, and efficient workflow across departments. This position requires fluency in both English and Spanish to effectively support our diverse workforce.

Key Responsibilities- Employee & Workforce Administration
Track and manage employee jobsite assignments and daily work locations
Maintain and oversee the company vacation and time-off calendar
Monitor, document, and report employee attendance records and attendance percentages
Coordinate and track annual employee drug screening requirements
Prepare and maintain employee personnel files in accordance with company and state regulations
- Human Resources & Compliance
Prepare and process all new-hire onboarding documentation
Complete Indiana State New Hire Reporting and E-Verify verification
Draft and manage employee disciplinary documentation, including warning notices and termination letters
Coordinate and manage Workers Compensation claims
Process and manage Indiana Unemployment claims and related documentation
Ensure compliance with federal, state, and company employment regulations
- Accounts Payable & Administrative Support
Enter, process, and manage incoming invoices and purchase orders
Assist with subcontractor payment processing and preparation for direct deposit
Maintain organized and accurate financial and administrative records
Support the company controller as needed
Provide general clerical and administrative support to the management team
Schedule appointments, meetings, conferences, and related events
Perform additional administrative duties as assigned
Bilingual Fluent in English and Spanish (required)
Strong organizational and time-management skills
High attention to detail and documentation accuracy
Knowledge of HR procedures, onboarding processes, and employment compliance
Familiarity with accounts payable processing and financial record-keeping
Ability to handle confidential and sensitive information with discretion
Strong written and verbal communication skills
Advanced proficiency in Microsoft Office (Word, Outlook, Excel)
Experience in office administration within construction or a related industry preferred
