Position Summary

The Home Delivered Meals (HDM) Coordinator plays a key role in ensuring that homebound older adults receive nutritious meals safely and on schedule. Based at the Carter Burden Luncheon Club, this position coordinates the daily operations of the home-delivered meals program, including intake and eligibility assessments, volunteer and driver scheduling, and program compliance with NYC Aging and City Meals on Wheels (CMOW) standards.

The HDM Coordinator is highly organized, compassionate, and committed to serving older adults with dignity and care. They will work collaboratively with volunteers, delivery staff, and program leadership to maintain quality service delivery and uphold CBN’s core values:

Essential Duties and ResponsibilitiesProgram Coordination and Oversight
  • Coordinate all aspects of the Home Delivered Meals (HDM) program, including intake, eligibility assessment, and reassessments.
  • Ensure completion and accuracy of nutrition assessments conducted by staff or volunteers.
  • Prepare and manage daily delivery route sheets and volunteer schedules, making real-time adjustments as needed.
  • Maintain accurate and up-to-date client records and program data in accordance with NYC Aging and City Meals on Wheels (CMOW) guidelines.
  • Support compliance and audit preparation by maintaining accurate logs for taste tests, incidents, complaints, and client satisfaction surveys.
  • Lead delivery crews in team-building initiatives, training sessions, and safety meetings to promote a positive and collaborative work environment.
  • Prepare for emergencies, weather-related interruptions, and holiday meal delivery schedules.

Collaboration and Communication
  • Serve as liaison between deliverers, volunteers, and case management staff to address client delivery issues or “no answer” reports.
  • Coordinate closely with the Program Director, Volunteer Coordinator, and CBLC colleagues to ensure smooth program operations.
  • Partner with case management and social service staff to identify clients needing additional support.
  • Provide coverage as needed, including serving as courier or delivery person during staff absences.
Administrative Responsibilities
  • Maintain detailed client documentation, new client packets, menus, and compliance forms.
  • Ensure that delivery equipment and hand trucks are maintained and tracked in accordance with NYC Aging standards.
  • Prepare monthly reports and assist the Program Director in completing required funder documentation.
Supervisory Responsibilities

This position partners with the Program director to manage the two home meal deliverers and any volunteer staff.

Specialized Knowledge and Skills
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Experience using data or scheduling systems such as PeerPlace, STARS, or other case management databases.
  • Excellent written and verbal communication skills in English.
  • Bilingual proficiency is considered an asset, particularly in languages reflective of the communities we serve. Preference will be given to candidates who ae proficient in a second language, with Spanish proficiency especially valued.
  • Familiarity with NYC Aging program standards, meal delivery logistics, and food service safety protocols.
Position Requirements
  • Education: Bachelor’s degree preferred; equivalent combination of education and relevant experience accepted.
  • Minimum 2 years of experience in program coordination, meal delivery, or social service environments.
  • Strong organizational and interpersonal skills with the ability to multitask in a fast-paced setting.
  • Must be comfortable collaborating across departments and with volunteers and participants.
  • Flexibility to work occasional evenings or weekends for special events or emergency operations (scheduled in advance).
Work Environment and Physical Demands

This position is based at the Carter Burden Luncheon Club, a multi-level facility with frequent interaction between dining, kitchen, and administrative areas. The role involves both administrative and light physical activity related to meal delivery coordination.

This on-site role involves standing and walking for extended periods during delivery coordination, as well as sitting for administrative tasks.

The role requires the ability to lift, push, or pull up to 20 pounds and to move throughout the facility and community as needed. Reasonable accommodations will be made to enable individuals with disabilities to perform the essential functions of the position.

Position Type and Expected Hours of Work

This is a full-time, non-exempt position that works 35 hours weekly between the hours of Monday through Saturday, 8:00 AM to 5:00 PM (note: Wednesday closes early). Occasional evening or weekend work may be required, with advance notice, to support special events or program needs. Our Luncheon Club hosts a beloved annual Christmas Day meal for older adults, and all staff—including this role—participate in making that day special.
