Position Overview
Apex Skin is a rapidly growing, physician-led dermatology and aesthetics practice committed to delivering exceptional patient experiences. We are seeking a customer-focused and detail-oriented Aesthetic Service Associate to support our growing aesthetics program by managing inbound inquiries and guiding patients through the scheduling and treatment process.
This role is responsible for owning and managing the pipeline of calls, emails, and inquiries related to aesthetic and acne services, educating patients on available treatments, and ensuring they are scheduled appropriately with the correct provider. The ideal candidate demonstrates strong communication skills, organization, and the ability to thrive in a fast-paced, service-driven environment while contributing to patient satisfaction and practice growth.
Schedule:
- Full-time, non-exempt position
- Monday–Friday, 8:00 AM–4:00 PM
- Schedule subject to change based on operational needs
Essential Functions:
- Educate patients on aesthetic and acne services and strategically schedule treatments with the appropriate provider
- Develop and maintain working knowledge of Apex aesthetics treatments and acne services to effectively guide patient care decisions
- Manage inbound calls and inquiries from new and existing aesthetic and acne patients
- Own and manage the full patient pipeline from initial inquiry through completed treatment and checkout
- Accurately document and track patient interactions, scheduling activity, and treatment outcomes
- Meet or exceed monthly scheduling and treatment completion goals, including conversion and utilization metrics
- Utilize strong communication and active listening skills to support patient needs and build trust
- Prioritize and manage multiple inquiries across various marketing channels in a fast-paced environment
- Support ongoing promotions and campaigns related to aesthetic services
- Travel to other Apex Skin offices as needed
Qualifications
- Strong customer service and patient communication skills
- Experience scheduling client or patient appointments in a fast-paced environment
- Typing speed of at least 50 words per minute
- Proficiency with Microsoft Office Suite; experience with scheduling or CRM systems preferred
- Associate’s or Bachelor’s degree, certification, or equivalent experience in a relevant field
- Minimum of one (1) year of experience in a dermatology and/or aesthetic/cosmetic setting
- Experience with accurate documentation, record-keeping, and data tracking
- Ability to manage multiple tasks, prioritize effectively, and work collaboratively as part of a team
Physical Requirements & Working Conditions
- Prolonged periods of sitting, standing, and walking in a clinical and office environment
- Frequent use of hands and fingers for typing, data entry, phone use, and navigating scheduling systems
- Visual acuity sufficient to read computer screens, schedules, patient records, and marketing materials
- Ability to speak and hear clearly when communicating with patients, providers, and team members in person and by phone
- Ability to occasionally lift or move up to 15 pounds (files, office supplies, or materials)
- Work is performed in a professional clinical and office setting with frequent patient interaction
- Requires sustained focus, attention to detail, and professionalism in a fast-paced, high-volume environment
- May require travel between Apex Skin offices as needed
- Must adhere to HIPAA, OSHA, and Apex Skin privacy, safety, and compliance standards
