About This Position

SUMMARY OF POSITION

The Dental Financial Care Coordinator (DFCC) will provide leadership related to the business end of our dental clinic operation. The position will work with the Dental Practice Administrator to plan and manage dental business operations to ensure excellent patient services. The DFCC will help patients navigate next steps after completion of the dental examination including helping patient(s) to understand financial and time commitments necessary to achieve optimal oral health. This includes working with multiple dental insurances, gathering predeterminations/prior-authorizations, and coordinating between patient and dental providers. The DFCC shall work to coordinate these services across both dental sites and will complete financial coordination duties with ample time before a patient’s services are rendered. The DFCC documents in the EMR the findings of insurance authorizations and communicates with dental providers as appropriate.

ESSENTIAL DENTAL PATIENT SERVICES REPRESENTATIVE JOB DUTIES
  • In collaboration with healthcare teams, ensuring patient care is coordinated and comprehensive by providing patient outreach, care coordination, education and follow-up services.
  • Serving to increase patient understanding of treatment and financial agreements.
  • Discussing treatment plans with patients to increase patient comprehension.
  • Helping patients to understand financial responsibilities, including, but not limited to, working with patients and insurance, gathering predetermination and prior authorizations, and financial coordination.
  • Working with billing department to resolve financial discrepancies.
  • Initiating outgoing referrals through online portals with assistance from providers.
  • Conducting weekly referral tracking and follow-up, ensuring proper documentation is maintained throughout the referral process.
  • Requesting consult notes and conducting scheduling follow-up with various referral dental specialists.
  • Identifying potential problems or barriers to care.
  • Scanning and appropriately routing patient documents into the electronic medical record system.
  • Providing assistance to help families overcome barriers to care (language, transportation, etc.) for patients referred for specialty appointments outside of Vibrant Health.
  • Communicating with KanCare Managed Care Organizations regarding patient appointment compliance, durable medical equipment requests, and other plan resources.
  • Monitoring, tracking, and submitting Access KC vouchers for payment as patient treatments are completed.
  • Ensuring timely reimbursement and accurate application of payments to patient account balances, supporting efficient revenue cycle operations and financial accuracy within the clinic.
  • As part of a team-based health care delivery model, overseeing daily office activities and providing direction and guidance to staff.
  • Assisting Dental Practice Administrator and dental administrative team with development of workflow practices and office procedures to optimize billing procedures and clinical practices.
  • Responding to patient queries and issues to ensure patient satisfaction.
  • Resolving patient issues in accordance with Vibrant Health policies and procedures.
  • Ensuring that medical records are stored securely and in compliance with privacy and security regulations.
  • Performing all other duties as assigned.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
  • High School Diploma, GED or equivalent.
  • Proficiency in use of personal computers and Microsoft Office Suite (Word & Excel).

  1. Occasionally travel to all parts of the facility and throughout the community.

PREFERRED KNOWLEDGE, SKILLS, AND ABILITIES
  • Bilingual in English and Spanish.
  • Previous dental practice experience.

  • Employment is contingent upon successful clearance from Criminal, Kansas and Missouri Child/Elder Abuse and Neglect, Sex Offender background investigations, TB testing, pre-employment drug testing, and verification of Hepatitis-B, flu and COVID-19 immunizations.
  • Occasional evening and weekend availability is required.
