This role is ideal for a highly organized and proactive administrative professional who excels at supporting leadership and ensuring smooth day-to-day operations. You will play a key role in coordinating executive workflows, managing communications, and maintaining operational efficiency across teams. The position requires strong attention to detail, discretion, and the ability to handle multiple priorities in a fast-paced environment. You will serve as a central point of coordination, working closely with internal and external stakeholders to support business activities. In addition to traditional administrative duties, you will contribute to process improvements and project support initiatives. - Provide high-level administrative support to leaders and teams, including managing complex calendars, scheduling meetings, and coordinating logistics.
- Prepare materials for meetings, including agendas, reports, and summaries, ensuring leaders are well-equipped for decision-making.
- Serve as a primary point of contact for internal and external communications, screening and prioritizing messages and responding when appropriate.
- Draft, proofread, and edit professional correspondence, reports, and presentations with a high level of accuracy.
- Coordinate travel arrangements, itineraries, and expense reporting to support business activities.
- Maintain organized records, databases, and document management systems to ensure accuracy and accessibility.
- Assist with budget tracking, purchase orders, and invoice processing to support financial operations.
- Support or lead administrative aspects of projects and initiatives, identifying opportunities to streamline workflows and improve efficiency.
- Organize team meetings, events, and activities while ensuring smooth execution and coordination.
- Handle confidential information with discretion, maintaining professionalism and trust across all interactions.
- 3–5 years of experience in administrative support roles, preferably supporting leadership or managing complex workflows.
- High school diploma or equivalent required; associate degree is a plus.
- Strong organizational, time management, and multitasking skills with the ability to prioritize effectively.
- Excellent written and verbal communication skills, with attention to detail and accuracy.
- Ability to collect, analyze, and present information clearly to senior stakeholders.
- Proficiency in Microsoft Office tools, including intermediate Excel skills; experience with Microsoft Dynamics 365 or Great Plains is a plus.
- Strong problem-solving skills and ability to work independently with minimal supervision.
